As Executive Assistant to the Secretary of the Board of Management, Executive Committee & Supervisory Board, you'll play a pivotal role in supporting Philips' highest governance bodies and helping ensure the smooth operation of the Secretariat.

Availability to work 32 hours per week minimum, with the opportunity to work full-time (40 hours per week) based on candidate preference and business needs.

Your role:

  • Support the Secretary in the preparation, organization and follow-up of Board of Management, Executive Committee, Supervisory Board and Committee meetings.
  • Coordinate meeting logistics, agendas, pre-read distribution and document management.
  • Maintain calendars and support annual planning cycles.
  • Support Annual General Meeting preparations.
  • Manage complex calendars and meeting schedules.
  • Coordinate domestic and international travel, visas, accommodations and itineraries.
  • Manage mailbox communications and prioritize incoming requests.
  • Handle confidential information with the highest degree of professionalism and discretion.
  • Act as a key point of contact for Board of Management members, Executive Committee members, Supervisory Board members and their assistants.
  • Build strong working relationships across the organization and externally.
  • Ensure a professional and responsive experience for all stakeholders.
  • Coordinate approvals, expenses, purchase orders and related administrative processes.
  • Provide backup support within the Executive Assistant and Secretariat team when required.

You're the right fit if you have:

  • Relevant education and 7+ years of experience as an Executive Assistant supporting C-suite executives, board-level stakeholders or senior leadership teams.
  • Experience in a fast-paced, multinational and matrixed environment.
  • Excellent organizational and planning skills with exceptional attention to detail.
  • Strong ability to prioritize, multitask and perform under pressure.
  • Proactive, resourceful and solution-oriented mindset.
  • Excellent verbal and written communication skills in Dutch and English (minimum C1 level).
  • Strong stakeholder management skills and executive presence.
  • High level of integrity, discretion and judgement.
  • Team player who can also work independently with minimal supervision.
  • Advanced proficiency in Microsoft 365 and digital collaboration tools.
