Role overviewWe are seeking a proactive, organised and discreet Executive Assistant to support the CEO of Explera DMC. The CEO works across our offices in Thailand, Japan, South Korea, Indonesia, India and Hong Kong, and you will keep the calendar, inbox, travel and team follow-ups running smoothly across all of them.
You can be based anywhere in the world. The role is remote, with frequent travel alongside the CEO, and you work South Asia hours: 10:00 AM – 6:00 PM India time (IST), which is 11:30 AM – 7:30 PM Thailand time, Monday to Saturday, and sometimes on Sunday when needed.
It suits an experienced EA, PA or secretary who acts without waiting to be told, keeps the CEO informed without overloading them, and follows up until things are done.
Key responsibilities1. Calendar & meetings- Manage the CEO's calendar across several time zones, avoiding conflicts and protecting time for priorities
- Schedule meetings with partners, suppliers and the team; prepare agendas and briefing notes
- Take minutes and track every action point to completion
- Manage the CEO's inbox, flag what is urgent and draft replies for approval
- Write clear, professional emails and messages to partners, suppliers and the team
- Handle confidential information with complete discretion
- Plan and book the CEO's international travel: flights, hotels, visas, transfers and meetings on the ground
- Travel with the CEO on business trips when needed, sometimes at short notice
- Solve travel problems quickly: delays, cancellations and rebooking
- Hand out tasks from the CEO to the right team members and follow up until they are done
- Prepare a short daily task report the CEO can read in two minutes
- Escalate missed deadlines early, with the facts and a proposed next step
- Stay reachable after working hours for urgent emails, schedule changes, travel issues and task follow-ups
- Keep the CEO's documents, contacts and files organised and up to date
- At least 1 year's experience as an Executive Assistant, PA or Secretary to a senior executive; 3 years or more is a strong advantage
- Excellent written and spoken English
- Daily user of Google Workspace or Outlook, and of a task tool such as Notion, Asana or Trello
- Experience managing calendars across time zones and arranging international travel
- Able to work 10:00 AM – 6:00 PM India time (IST), which is 11:30 AM – 7:30 PM Thailand time, Monday to Saturday (sometimes Sunday), and to respond to urgent messages outside those hours
- Valid passport and willingness to travel internationally, sometimes at short notice
- Your own reliable laptop, smartphone and stable internet connection
- Discreet, calm under pressure and highly organised
- Mode: remote from anywhere in the world, with frequent travel alongside the CEO
- Working hours: 10:00 AM – 6:00 PM India time (IST), which is 11:30 AM – 7:30 PM Thailand time
- Working days: Monday to Saturday, and sometimes Sunday when needed
- After-hours availability: the CEO works across several countries and time zones, so this role needs reasonable availability after working hours for urgent emails, schedule changes, travel issues and task follow-ups
- USD 100 – 400 per month, depending on the candidate and decided after the interview
- All travel expenses covered during business trips: flights, hotels, meals and visas
