About the Role

We are looking for an organised, proactive and professional Executive Business Support Officer to join Waythrough’s Executive Business Support Team, based in Durham.

You will play a key role in supporting our Executive Team and Board of Trustees, helping senior leaders manage priorities, coordinate activities and deliver organisational objectives. Working closely with one or more Executive Directors, you will provide high-quality administrative, operational and strategic support, including diary management, correspondence, meeting coordination and the preparation of reports and presentations.

This is a varied and rewarding role where you will build relationships with senior stakeholders, handle confidential information and help ensure the smooth running of executive and governance activities.

Hours can be flexible, and the salary offered will be dependent on experience, within the advertised salary band of £25,877.80–£34,240 per annum.

Key Duties

  • Provide comprehensive business and administrative support to allocated Executive Directors, helping manage priorities and deliver key objectives.
  • Manage complex diaries, coordinate appointments and meetings, and oversee executive correspondence and inboxes.
  • Prepare reports, presentations, briefing papers and other documentation for senior leaders, Board meetings and committees.
  • Coordinate Board and committee meetings, executive leadership meetings and other corporate events, including preparing papers, taking minutes and tracking actions.
  • Build and maintain effective relationships with internal teams, Board members and external stakeholders.
  • Coordinate business travel arrangements, accommodation, itineraries and associated expenditure.
  • Support strategic projects and workstreams, monitoring progress, coordinating activities and ensuring deadlines are met.
  • Monitor expenses, maintain accurate financial records and support budget planning.
  • Handle sensitive and confidential information with discretion, maintaining high standards of professionalism and governance.
  • Provide cover and additional support to the wider Executive Business Support Team and the PA to the Chief Executive when required.

About You

You will be a highly organised and dependable individual who can manage competing priorities, work proactively and provide excellent support to senior leaders. You will have strong communication and relationship-building skills, with the confidence to work with a range of stakeholders and handle sensitive information professionally.

You will also have:

  • A minimum NVQ Level 3 in Business Administration, a relevant subject, or equivalent experience.
  • Experience providing support to senior management at Executive Director and Board level.
  • Experience supporting meetings and committees, including preparing documentation and producing accurate minutes.
  • Good working knowledge of Microsoft 365 applications.
  • Excellent organisational skills, with the ability to manage multiple deadlines and competing demands.
  • Strong written and verbal communication skills, with a commitment to delivering excellent customer service.
  • The ability to exercise discretion, maintain confidentiality and use sound judgement when dealing with sensitive matters.

Above all, you will share Waythrough’s values of Kindness, Courage and Respect, and be committed to helping our senior leadership team work effectively to achieve positive organisational outcomes.
