Facilities Specialist

Role Description The Facilities Specialist (part-time, remote) will support the planning, coordination, and monitoring of CIITEC’s facilities operations and projects. This role includes assisting with maintenance schedules, tracking work orders, and coordinating with internal teams and external vendors to ensure facilities are safe, efficient, and compliant with institutional guidelines. The Facilities Specialist will help manage documentation, prepare basic reports, and support budgeting and resource allocation for construction, repairs, and upgrades. The role also involves contributing to training materials and virtual sessions on facility use, safety procedures, and best practices. The Specialist will collaborate with CIITEC staff to address facilities-related requests promptly while maintaining clear communication and accurate records.
Qualifications

• Ability to apply Facility Management (FM) principles, including basic planning, coordination of maintenance activities, and oversight of facility-related services.
• Experience supporting or delivering Training related to facility use, safety protocols, and operational procedures.
• Competence in Administration tasks such as documentation, scheduling, record-keeping, and coordination with multiple stakeholders.
• Familiarity with Construction or renovation projects, including understanding timelines, scopes of work, and communication with contractors.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) for tracking data, preparing reports, and communicating with teams.
• Strong organizational and time-management skills, with the ability to prioritize tasks in a remote, part-time environment.
• Effective written and verbal communication skills in en_US; ability to collaborate across multidisciplinary teams.
• Experience in an academic, research, or technology-focused environment is an advantage.
• Relevant technical or administrative education or equivalent practical experience in facilities, operations, or a related field.
