ABOUT THE ROLE
Open Veil Charitable Foundation is seeking a reliable, organised and detail-oriented Farm Accountant to support the financial management and procurement activities of our farm operations in Ogun State.
The successful candidate will be responsible for maintaining accurate financial records, monitoring farm expenditure, managing approved purchases, coordinating with vendors, maintaining procurement documentation and providing timely financial information to management.
The role requires someone who is comfortable working independently, has strong attention to detail and demonstrates a high level of integrity when handling organisational funds, financial records and procurement activities.
KEY RESPONSIBILITIES
Accounting & Financial Management
- Record and maintain accurate daily financial transactions relating to farm operations.
- Maintain complete records of farm income, expenditure, payments and other financial activities.
- Prepare weekly and monthly financial reports for management.
- Monitor farm operating expenses and identify significant variances or unusual expenditure.
- Manage and maintain petty cash records and supporting documentation.
- Reconcile cash and bank transactions and promptly investigate discrepancies.
- Track supplier invoices, payments and outstanding financial obligations.
- Maintain accurate and up-to-date accounting records.
- Ensure receipts, invoices, payment records and other financial documents are properly filed and securely maintained.
- Support management with budget preparation and expenditure monitoring.
- Assist with internal reviews, reconciliations and audits when required.
Procurement & Vendor Management
- Manage the execution of approved purchases for farm and operational requirements.
- Receive purchase requests and specifications from the Operations Manager and other authorised personnel.
- Source vendors and obtain quotations or pricing information where required.
- Compare available pricing and purchasing options and provide relevant information for approval.
- Purchase approved farm inputs, materials, equipment, supplies and other operational requirements.
- Liaise with vendors regarding pricing, availability, orders and delivery.
- Track orders and follow up on outstanding deliveries.
- Verify that goods purchased are received and properly documented.
- Maintain accurate procurement records, including purchase requests, quotations, invoices, receipts and payment records.
- Maintain an organised and up-to-date supplier/vendor database.
- Reconcile purchases with invoices, receipts, payment records and relevant farm records.
- Identify and report discrepancies relating to pricing, quantities, deliveries or documentation.
- Ensure procurement activities comply with Open Veil's approval and financial procedures.
Inventory & Farm Records
- Maintain financial records relating to farm inputs, supplies and operational purchases.
- Work with the Operations and Farm teams to ensure purchased items are properly documented and accounted for.
- Track expenditure on farm inputs and other operational materials.
- Support reconciliation of purchased items against available records and documentation.
- Report significant discrepancies or unusual variances to management.
General Responsibilities
- Work closely with the Operations Manager, Farm Manager and Management to ensure proper financial accountability.
- Maintain confidentiality of the Foundation's financial and organisational information.
- Provide timely financial and procurement information when requested by management.
- Identify weaknesses in financial or procurement processes and bring them to management's attention.
- Maintain professional relationships with vendors and service providers.
- Perform other reasonable accounting, procurement and administrative duties assigned by management.
Requirements
- HND or Bachelor's degree in Accounting, Finance, Economics or a related field. OND with strong relevant experience may also be considered.
- 2 years' relevant accounting, bookkeeping or financial administration experience.
- Experience handling financial records, reconciliations and expense tracking.
- Experience with procurement, purchasing or vendor management is strongly preferred.
- Good knowledge of Microsoft Excel or Google Sheets.
- Experience using accounting or bookkeeping software is an advantage.
- Strong numerical and analytical skills.
- Excellent attention to detail and accuracy.
- Good organisational and record-keeping skills.
- Ability to work independently and meet deadlines.
- Good communication and interpersonal skills.
- High level of integrity, accountability and confidentiality.
- Previous experience in agriculture, farming, small business accounting or operational finance will be an advantage.
