The Company

Nomia is transforming the way organizations manage tail spend procurement.

Our AI-powered SaaS platform combines cutting-edge technology with deep human procurement expertise to simplify sourcing, drive compliance, and unlock measurable value.

With a fast-growing global customer base and teams across London, Dubai, Singapore, Krakow, Chicago, and India, we’re building a rocket ship for growth, and we’re looking for passionate, high-impact people to join us.

The Role

We’re looking for a HR Assistant to join our global HR team. This is an exciting opportunity for someone who thrives in an agile environment and wants to make a meaningful impact on a growing organisation.

You’ll provide vital administrative support across core HR functions, including employee records, HR systems (particularly BambooHR), payroll coordination, and recruitment.

This is a global-facing role that requires strong communication, organisational skills, and a passion for delivering excellent employee experiences. Experience with fully managed payroll and HRIS systems is highly desirable.

HR experience is valuable; however, we are open to candidates who are looking to start their career in HR, pivoting from other departments.

Responsibilities:

  • Help coordinate the global payroll process, ensuring accuracy and timely submission, and respond to payroll-related queries, liaising with Finance to ensure compliance.

  • Maintain HRIS (BambooHR) and accurate employee records, ensuring employee data, HR databases, and reports are up to date and support the optimisation of Bamboo workflows and functionality.

  • Prepare and distribute key HR documentation, including contracts, policies, and handbooks.

  • Respond to routine HR queries and provide day-to-day administrative support.

  • Support the coordination and documentation of employee training and development, along with ad hoc HR projects and team initiatives.

  • Post job adverts, manage applicant tracking, screen CVs, and assist in scheduling interviews.

  • Support the onboarding of new employees, including preparation of contracts, background checks, and orientation logistics.

  • Assist in implementing consistent HR processes across different regions and time zones, coordinating with international HR stakeholders and supporting the rollout of global HR policies and initiatives.

  • Provide cover and additional support to the wider HR team during peak periods and absences, including day-to-day office administration (when applicable).

Requirements:

Essential Criteria

  • Highly organised with strong attention to detail and time management.

  • Excellent written and verbal communication skills, with a collaborative and solutions-focused mindset.

  • Able to handle confidential and sensitive information with discretion.

  • Able to juggle multiple priorities and adapt to change in a fast-moving environment.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Familiarity with HRIS platforms (experience with BambooHR is a strong advantage)

  • Relevant qualification in Human Resources, Business Administration, or a related field (or equivalent experience).

Desirable Criteria

  • Understanding of payroll processes.

  • Experience supporting global teams.

General Information

  • Ensure compliance with Nomia’s data protection and information security policies.

  • Whilst this position is Hybrid, once a week working from the office is required, possibly more whilst training and if requested by supervisor.

  • Be aware at all times of diversity and inclusion and acting in line with Nomia’s core values.

  • Foster and promote continuous improvement in systems and processes.
