Operations & HR Coordinator – Australian NDIS Provider

Remote – India | Full-Time

Salary: ₹25,000–₹35,000 per month, based on skills and experience

Time: 8am - 6pm Sydney Time

We are looking for a highly organised, proactive and confident Operations & HR Coordinator to support the day-to-day operations and growth of an Australian disability and healthcare organisation.

This is a broad, hands-on role covering rostering, HR, recruitment, payroll administration, client and worker coordination, documentation, social media, client outreach and general business operations.

We are looking for someone who can use common sense, take initiative, solve problems independently and take ownership of their work rather than waiting for instructions for every task.


Rostering & Daily Operations

• Manage staff rosters and schedules

• Coordinate shift changes, cancellations and urgent replacements

• Match appropriate workers with clients based on availability, location, experience and client requirements

• Identify roster gaps and proactively work towards solutions

• Communicate roster changes with workers and clients

• Follow up worker availability, attendance and shift-related matters

• Maintain accurate worker and client information

• Assist management with general daily operations

Previous experience using ShiftCare OR another rostering/workforce management platform is REQUIRED.

Applicants do not necessarily need previous ShiftCare experience if they have strong experience using a similar rostering/workforce system and can learn ShiftCare quickly.


HR, Recruitment & Staff Coordination

• Advertise vacancies and source suitable candidates

• Review applications and shortlist candidates

• Conduct initial screening and phone interviews

• Coordinate employee onboarding and induction

• Maintain employee files and HR records

• Monitor worker compliance documents, training and expiry dates

• Follow up missing documentation

• Assist with staff communication and performance follow-ups

• Support ongoing recruitment based on operational requirements


Timesheets & Payroll Administration

• Review worker timesheets and completed shifts

• Compare worked hours against scheduled shifts

• Identify incorrect, incomplete or missing timesheets

• Follow up workers regarding discrepancies

• Calculate and prepare worker hours for payroll processing

• Maintain accurate payroll-related records

• Prepare payroll information for management review and approval

Experience with Xero or similar payroll/accounting software is an advantage.

Final payroll approval, financial transactions and payments will remain with management.


Client Coordination & Service Administration

• Communicate professionally with Australian clients, families, workers and other relevant parties

• Assist with new-client onboarding and service administration

• Maintain client profiles and documentation

• Respond to routine client enquiries

• Follow up service-related matters

• Assist with resolving routine client concerns and escalate significant matters appropriately

• Maintain professional communication when dealing with complaints or challenging situations

Client Search, Outreach & Business Development


This position will also assist the company with identifying and approaching potential new clients and referral opportunities.

Responsibilities may include:

• Research potential NDIS clients and service opportunities

• Identify appropriate referral sources and potential business connections

• Assist with approaching Support Coordinators, Plan Managers and other relevant organisations/professionals

• Make professional introductory calls, emails and messages

• Respond to new service enquiries

• Follow up potential client leads professionally

• Maintain an organised record of leads, enquiries and follow-ups

• Assist with preparing service information for prospective clients

• Support management with client intake once a new client is interested

• Research local service opportunities and areas where workers may be required

• Assist with developing professional relationships that may generate future referrals


The successful candidate must be comfortable speaking professionally with new people and taking initiative to search for opportunities, rather than only responding to incoming enquiries.


Reports, Incidents & Documentation

• Read and review progress notes, incident reports and other operational documentation

• Identify missing information, inconsistencies or matters requiring attention

• Follow up workers regarding incomplete documentation

• Maintain organised company records

• Assist with reports, spreadsheets, emails, forms and other documentation

• Be comfortable reading lengthy documents and extracting important information

• Escalate incidents, risks and significant concerns to management appropriately


Social Media & Digital Support

• Assist with management of company Facebook, Instagram and LinkedIn accounts

• Plan and schedule regular social media content

• Create professional basic graphics using Canva or similar software

• Create recruitment posts and job advertisements

• Create service-awareness and company promotional content

• Assist with social-media strategies to attract both workers and potential clients

• Monitor messages and enquiries received through social media

• Respond to basic enquiries professionally and escalate where required

• Assist with maintaining an active and professional online presence


What We Are Looking For

• Strong spoken and written English – essential

• Previous experience with ShiftCare OR another rostering/workforce management platform – essential

• Excellent common sense and problem-solving ability

• Confident speaking with Australian clients and workers over the phone

• Comfortable approaching new people and potential business/referral contacts

• Ability to work independently and take ownership of responsibilities

• Strong organisation and time-management skills

• Ability to multitask and prioritise urgent matters

• Excellent attention to detail

• Comfortable reading lengthy reports and documentation

• Good computer and administrative skills

• Ability to learn new systems and Australian workplace processes quickly

• Professional when handling confidential client and employee information

• Reliable and comfortable working in a fast-moving environment


Highly Desirable

• Australian NDIS, disability, aged care or healthcare experience

• Previous experience supporting an Australian company remotely

• ShiftCare experience

• HR and recruitment experience

• Healthcare/disability rostering experience

• Timesheet and payroll administration

• Xero or similar software

• Canva and social media management

• Client/customer service experience

• Business development, lead generation or client outreach experience


You do not need to already know every system or every aspect of the Australian NDIS. However, rostering software experience, strong English, common sense, confidence, initiative and the ability to learn quickly are essential.


This role would suit someone who wants to become an important part of a growing organisation and take responsibility across operations, people, clients and business growth.
