Join J&P Hospitality Management as an HRIS and Payroll Specialist and support our employees and hotel leaders from hire through paycheck. In this 100% remote role, you’ll own HRIS and payroll support for an assigned portfolio of properties, ensuring employees are onboarded accurately, payroll is processed on time, and field leaders get the responsive support they need.

100% REMOTE - J&P operates as a fully virtual company without the overhead of a corporate office.

Pay: $45,000–$55,000 annually, based on experience

Travel: Rare - limited to occasional company meetings or business needs.

JOB DESCRIPTION

Job Title: HRIS and Payroll Specialist

Reports to: Senior Manager, HRIS and Payroll Administrator

FLSA Status: Non-Exempt

Location: Remote, with occasional travel as needed for the business

Department: Human Resources

JOB RESPONSIBILITIES:

The HRIS and Payroll Specialist supports J&P’s employees and properties from hire through pay. Working within an assigned portfolio of properties, this role handles new-hire processing, employee data maintenance, HRIS administration, and payroll processing, and serves as the primary HRIS and payroll contact for the General Managers, Area Managers, and employees in that portfolio.

This position requires strong attention to detail, sound judgment with confidential information, and the ability to meet fixed payroll deadlines while managing a steady volume of onboarding and employee requests. The role partners closely with HR Business Partners, Accounting, and property leadership, and provides backup coverage for other HRIS and Payroll Specialists as needed.

ESSENTIAL FUNCTIONS:

Onboarding & Employee Records

  • Run and clear pre-employment background checks in accordance with company policy and applicable law.
  • Complete Form I-9 employment eligibility verification within required timeframes.
  • Create new employee profiles in the HRIS and process W-4 withholding elections.
  • Review rehires for eligibility, background, pay rate, and cost center before reactivation.
  • Process employee information updates, including address, direct deposit, and title changes.
  • Complete employment verifications in accordance with company policy.
  • Assign required HR compliance and LEA training in the HRIS and reconcile completion against the learning management system.

HRIS Administration & Support

  • Process HRIS security setting edits and mass manager changes.
  • Maintain employee profiles, including profile adjustments and terminations for failure to report.
  • Reset passwords and unlock employee and location accounts; assign and update location IP addresses.
  • Add and update cost codes.
  • Locate misplaced applicants, assign them to the correct requisition, and correct applicant information.
  • Investigate HRIS system issues, escalate as appropriate, and communicate resolutions to affected users.
  • Serve as the first point of contact for HRIS questions from General Managers and employees in the assigned portfolio.

Payroll Processing

  • Process weekly and bi-weekly payroll for assigned locations accurately and on schedule.
  • Perform daily payroll audits, including excessive punches, timesheet changes, on-call, incomplete records, missing rates, and PTO, and resolve exceptions before payroll submission.
  • Process off-cycle payrolls, including returned direct deposits and missed hours.
  • Complete monthly on-call confirmations and document assignments.
  • Respond to payroll emails and requests from employees and property leadership.

Training, Communication & Support

  • Deliver HRIS timesheet training to General Managers, SOMs, and Area Managers.
  • Provide mentoring and process support to General Managers during new property onboarding.
  • Triage the HR inbox and route inquiries to the appropriate team or department.
  • Maintain HRIS and payroll content on the HR Team SharePoint site.
  • Participate in HR team, payroll team, and leadership meetings.
  • Follow established internal controls, including supervisory review of security setting and direct deposit changes, and protect the confidentiality of employee and payroll information.
  • Provide backup coverage for other HRIS and Payroll Specialists’ portfolios as needed.
  • Perform additional HR-related duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Accounting, Business Administration, or a related field preferred.
  • 2+ years of experience in payroll, HRIS, or HR administration; multi-state payroll experience preferred.
  • Experience with HRIS, payroll, and timekeeping platforms; hospitality industry experience a plus.
  • Working knowledge of Form I-9, W-4, and federal and state wage and hour requirements.
  • Fundamental Payroll Certification (FPC) or progress toward certification a plus.
  • Strong attention to detail and accuracy in data entry, audits, and reconciliations.
  • Proficiency with Microsoft Excel and Microsoft 365.
  • Strong customer service and communication skills, with the ability to explain system and payroll issues to non-HR users.
  • Ability to manage competing deadlines and handle confidential information with discretion.

REQUIREMENTS:

  • Ability to travel up to 5% for meetings, training, or projects.
  • Flexibility to meet occasional business needs outside standard business hours, including around payroll deadlines.
  • Must possess and maintain a valid driver’s license and Real ID-compliant identification.
  • Must be able to travel by car and commercial air.
  • Prolonged periods of computer use and phone-based communication. Some lifting up to 25 lbs. may be required during travel or events.
  • Must maintain a professional appearance and demeanor appropriate for a business setting.
  • Must be able to perform the essential functions of the position, with or without reasonable accommodation.
  • Must be legally authorized to work in the United States for any employer without current or future visa sponsorship.
  • Must be willing to execute the Company’s confidentiality, arbitration, non-disclosure, and propriety information agreements, all in compliance with applicable federal, state, and local laws.
