About the Job
The Document Specialist is responsible for managing the day-to-day flow of client documents across a high volume of cases and clients, ensuring all records are accurately uploaded, organized, and maintained within the firm's document collection and case management systems.
This is a detail-oriented, process-driven role that requires accuracy and consistency.
Responsibilities
#1 Document Processing
- Monitor the firm's document collection software (PipeFile) for new document submissions from clients across multiple active cases.
- Download and process documents received through client submissions, court-system emails, and other designated channels.
- Manage incoming documents from a high volume of clients and cases, ensuring timely processing and organization.
- Rename and relabel documents according to firm naming conventions and document management standards.
- Upload and organize relabeled documents within the appropriate client matters and cases in the CRM (Filevine).
- Translate basic documents as needed to support case processing and document management.
#2 Document List Maintenance
- Update document checklists across multiple client cases to reflect newly received and processed items.
- Maintain accurate, up-to-date, and well-organized records for a high volume of active client matters.
- Update the shared tracking document with the most recent date and time PipeFile was reviewed and documents were processed and uploaded.
#3 Limited Client Communication
- Send PipeFile messages to clients when submitted documents are rejected due to being blurry, incomplete, or otherwise illegible.
- Communicate with clients through PipeFile to request corrected or replacement documents when needed.
- Send follow-up messages through approved communication channels only when issues cannot be resolved through PipeFile messaging.
- Escalate complex client questions or case-related inquiries to the appropriate team member.
#4 Quality and Accuracy
- Verify that documents are uploaded to the correct case and category before finalizing.
- Flag any document that appears mismatched, incomplete, or unclear to the assigned Legal Assistant.
- Follow firm naming and filing conventions consistently.
You're the ideal fit if you:
- Are bilingual (Spanish & English) with strong detail-oriented & communication skills.
- Bring at least 1 year of experience in Immigration Law for U.S.-based firms.
- Have strong attention to detail and consistently accurate work
- Can follow a defined process efficiently, even under a steady volume of documents
- Are comfortable working with online platforms and quickly learning new systems
- Have basic computer proficiency: file management, downloading, uploading, and renaming files with ease
- Are organized and self-directed, able to manage a steady document queue without prompting
Technical Requirements
- Candidates must have a laptop or desktop computer with 8GB RAM, Core i5 or above.
- Integrated external webcam for virtual meetings.
- Stable internet connection.
What's Offered
- Monthly salary: USD 1,300.
- Full-time position of 40 hours per week
- 100% Remote, Synchronous work.
- Monday to Friday, 9:00 a.m. – 5:00 p.m. EST
- Weekends Off
