Payment Processing & Accounts Receivable

• Monitor incoming payments and payment notifications.

• Promptly contact clients when recurring credit card payments are declined and request updated payment information

when necessary.

• Apply payments accurately, maintain up-to-date accounts receivable records, and monitor outstanding balances.

• Investigate payment discrepancies, refunds, and chargebacks and ensure appropriate follow-up.

In-House Collections

• Manage initial collection efforts before accounts are escalated to external collection providers or legal channels.

• Prioritize collection activities based on the age and amount of outstanding balances, payment history, and recovery

potential.

• Contact clients by phone, email, and written correspondence regarding overdue balances.

• Document collection attempts, client responses, disputes, and next steps.

• Coordinate with internal stakeholders when additional action or escalation is required.

• Prepare reports on outstanding balances, collection activity, and account status.

Required Qualifications

• At least 3 years of relevant accounting or billing experience, including prior experience working in a law firm or

supporting legal clients. This legal experience must be evident on the candidate's resume.

• Prior legal industry experience is required. Candidates must be able to describe the length of their legal-sector

strongly preferred.

• Strong Microsoft Excel skills.

• Professional English communication skills, including the ability to conduct client calls and discuss outstanding

payments.

• Excellent attention to detail, organization, and follow-through.

• Ability to manage multiple priorities independently, meet recurring deadlines, and communicate effectively with

cross-functional teams in a remote environment.

Preferred Qualifications

• Direct experience in a law firm or supporting legal clients is required and must be evident on the resume.

• Direct legal billing and/or trust accounting experience is highly preferred.

• Familiarity with Filevine, QuickBooks, or comparable accounting and practice-management systems.
