About the Role

We are seeking an experienced, detail-oriented Manager, Accounts Payable/Receivable to join our Financial Operations team. This role owns the day-to-day AP and AR for AWH Partners and takes on the Accounts Receivable responsibilities the department has recently absorbed. It has no direct reports.

The Specialist is responsible for accurate, timely invoice processing, payment posting, cash application, vendor and customer communications, and reconciliations across multiple entities and systems. Because the role manages a high volume of email and transactions, it requires exceptional attention to detail, strong follow-through, and the judgment to catch and resolve discrepancies independently before they reach month-end close.

The ideal candidate has solid AP experience, is comfortable in a fast-paced, multi-entity environment with evolving priorities, communicates professionally with vendors, customers, partners, and internal teams across states, and is motivated to help the team work less manually. This is a strong fit for someone ready to operate with greater ownership than an associate role while continuing to grow toward a management track.

Key Responsibilities

Accounts Payable

• Process and code a high volume of Operations, Inventory, and Construction invoices in Beanworks for assigned AWH and partner entities, ensuring accuracy before approval

• Monitor AP inboxes and respond promptly to vendor inquiries, urgent payment requests, and pending approvals

• Resolve rejected invoices and account discrepancies directly with vendors and internal teams; perform vendor statement reconciliations with follow-up and reporting

• Maintain vendor records and documentation (W-9s, invoices, payment details) in OneDrive in line with vendor setup and maintenance procedures

• Identify missing invoices from suppliers and ensure they are captured before month-end close

Accounts Receivable

• Prepare and distribute customer and intercompany invoices and statements

• Post incoming payments and apply cash accurately in NetSuite

• Monitor aging, follow up on past-due balances, and research and resolve short pays and disputes

• Respond to customer billing inquiries and maintain accurate customer records

• Document and standardize the AR tasks absorbed by the department so they are performed consistently

Partner entities

• Serve as the primary AP/AR point of contact for AWH Partners

• Ensure every transaction is recorded to the correct entity and location across systems; track balances by entity

• Coordinate with partner contacts on invoicing, payments, and reconciliations; build reliable working relationships

Process improvement

• Track recurring issues and recommend procedure updates to reduce rework

• Implement solutions, best practices, and documented procedures that reduce manual effort in the AP/AR process

• Participate in special projects related to account audits, data cleanup, process improvements, and investigations

Month-end and general

• Lead month-end activities for assigned entities: request account statements, reconcile accounts, and support the GL team with reconciliations and bank transaction data

• Assist with intercompany invoice collection and reconciliation for inventory-related transactions

• Support onboarding of utilities and services for new partner or retail locations

• Provide backup AP coverage during team absences

• Other responsibilities as assigned

Qualifications

Required

• 3–5 years of experience in Accounts Payable or a general accounting environment; Accounts Receivable exposure strongly preferred

• Experience working with generally accepted accounting principles and accounting software

• Proficiency in Microsoft Office Suite (Excel, Outlook, OneDrive)

• Demonstrated accuracy and attention to detail while handling high transaction volumes

• Strong organizational and communication skills; able to work independently, prioritize competing deadlines, and collaborate across teams and states

• Strong analytical and problem-solving skills, with the judgment to research and resolve discrepancies independently

Preferred

• Experience with Beanworks and NetSuite (or a comparable large ERP AP system)

• Experience in a multi-entity environment, including intercompany transactions and 1099 filing

• Associate's or Bachelor's degree in Accounting, Finance, or a related field

• Prior experience in retail, multi-state operations, or the cannabis industry
