Job Description

This is a remote position.

Role overview

We are seeking a proactive, detail-oriented, and marketing-savvy Virtual Assistant to support a UK-based healer, transformation coach, author, and entrepreneur. The ideal candidate will take ownership of day-to-day marketing execution and help build sustainable systems that promote the client's existing content, attract potential clients, and generate sales across multiple business ventures.

This is not a basic social media posting role. The client needs someone with a strong understanding of digital marketing, content strategy, audience attraction, email marketing, and evergreen sales funnels who can recommend ideas, implement strategies, and manage ongoing marketing activities with minimal supervision once the systems are established.

About the client

A healer, transformation coach, author, and entrepreneur whose work focuses on helping people who have experienced traumatic or challenging births identify recurring patterns and release subconscious limiting beliefs.

Her work combines ancient wisdom with modern strategies to support personal development, emotional well-being, relationships, and professional growth.

Her existing business assets include:

  • One-on-one and group coaching and healing sessions, offered in person and via Zoom.
  • From Fear Into Love, a 12-week transformation course that she wants to make available through a lower-priced, self-paced evergreen offer.
  • Unstoppable You – Unpicking Your Hidden Stories, an ongoing personal development course.
  • Multiple published books, coaching books, and digital products.
  • An existing website, weekly blog content, YouTube channel, podcast/online TV show content, and social media accounts.
  • A LifeWave network marketing business that she wants to grow organically through attraction-based marketing.
  • An upcoming children's picture book venture with her daughter-in-law, who is an illustrator.

Shannon has a substantial library of existing content and has invested in marketing education. She is looking for a capable partner who can help turn these resources into consistent marketing activity and business growth.

Key responsibilities

A. Digital marketing strategy and implementation — highest priority

  • Develop and execute a practical, sustainable digital marketing strategy for the client's existing businesses.
  • Translate the client's goals, personal story, expertise, and existing materials into marketing campaigns that attract the right audience.
  • Apply attraction marketing principles to both the healing/coaching business and the LifeWave business.
  • Recommend marketing strategies, campaign ideas, and opportunities for growth rather than waiting for the client to provide every instruction.
  • Build a consistent marketing presence across relevant platforms, with a focus on visibility, audience engagement, lead generation, and sales.
  • Establish repeatable marketing workflows so that campaigns continue running without the client needing to manage every detail.
  • Repurpose existing materials before recommending substantial amounts of new content creation.
  • Monitor marketing performance and recommend improvements based on engagement, inquiries, bookings, and sales data where available.
  • Keep the client informed about campaign progress, priorities, and results.

Primary objective: Help the client attract potential clients and generate sales organically through authentic, value-driven marketing rather than aggressive selling or cold outreach.

B. Social media management and content distribution

  • Manage the client's social media presence, primarily on Facebook.
  • Repurpose and distribute appropriate content to Instagram and LinkedIn.
  • Investigate and help restore the connection between Facebook and Instagram, where technically possible.
  • Establish a consistent publishing schedule, with a target of posting daily across the appropriate channels.
  • Adapt content to each platform rather than simply duplicating every post without considering its format or audience.
  • Identify valuable content from existing videos, interviews, YouTube uploads, podcast/TV episodes, books, blogs, and other materials.
  • Turn long-form content into shorter posts, video clips, reels, captions, quotes, educational content, and promotional materials.
  • Create or coordinate simple graphics, branded social media assets, and short-form video edits when needed.
  • Write compelling captions, calls to action, and audience-focused posts that reflect the client's voice and philosophy.
  • Schedule and publish approved content consistently.
  • Monitor comments, engagement, and relevant inquiries, escalating personal or coaching-related questions to the client when appropriate.
  • Explore other existing channels, including TikTok and YouTube, when useful and feasible within the agreed hours.

Content volume: The client explicitly wants a much more consistent and frequent presence than her current pattern of posting for a short period and then stopping. Daily posting is the initial target; the VA should recommend a realistic cross-platform content calendar based on the available hours and campaign goals.

C. Attraction marketing for the LifeWave business

  • Review and complete the client's existing, paid Attraction Marketing course.
  • Learn the course's marketing framework and identify the strategies that can be applied to the client's businesses.
  • Review the course's AI-based marketing resources and advertising tools, including any platform specifically designed for the LifeWave business, subject to authorized access.
  • Develop and implement an organic attraction marketing plan for LifeWave.
  • Create content that introduces the client's story, perspective, and experience in a natural, authentic way.
  • Develop a repeatable content and audience engagement process designed to attract interested prospects and potential business partners.
  • Apply relevant attraction marketing principles to the healing and coaching business where appropriate.
  • Track inquiries and marketing activity and suggest improvements to the overall approach.

Important distinction: This is primarily an organic marketing role. Shannon has expressly stated that she does not want cold calling or direct prospecting calls. Any paid advertising should be discussed and approved separately, including budget and compliance requirements.

The VA must also follow applicable platform policies and advertising rules, particularly around health-related products. No unsubstantiated medical, regenerative, or treatment claims should be made about LifeWave products.

D. Evergreen funnel and course marketing

This is a major project and one of the client's most important priorities.

  • Audit the client's existing marketing assets, course materials, website, email lists, and current funnels.
  • Design and implement an evergreen marketing funnel for From Fear Into Love.
  • Help position the course as a lower-priced, self-paced digital product without the existing live coaching calls.
  • Develop the customer journey from initial social media discovery through educational content, email follow-up, purchase, and any appropriate next offer.
  • Explore whether an evergreen webinar, recorded masterclass, automated presentation, or another suitable educational format would best serve the offer.
  • Guide Shannon through creating any new webinar or video content, including its structure, talking points, messaging, approximate length, and call to action.
  • Provide substantial guidance during initial setup because the client is willing to create content but does not want to plan the entire marketing process alone.
  • Set up relevant landing pages, opt-in forms, email sequences, automated follow-ups, and sales pages using the available tools.
  • Connect the funnel to an appropriate booking option for prospects interested in working with Shannon personally.
  • Explore ethical upsell opportunities, such as private sessions, coaching, or other suitable offerings.
  • Test the funnel and its customer journey before launch.
  • Monitor performance and improve the process over time.

The goal is to create a system that can promote and sell the course continuously without requiring Shannon to conduct live webinars or provide ongoing coaching for every purchaser.

The VA should be comfortable recommending the most practical solution based on the tools and assets Shannon already has, rather than introducing unnecessary platforms.

E. Email marketing and MailerLite automation

  • Manage the client's existing MailerLite account and email marketing activities.
  • Organize existing subscribers and relevant content assets.
  • Create and schedule newsletters, promotional emails, and educational email campaigns.
  • Repurpose weekly blogs and other content into email communications where appropriate.
  • Build automated welcome sequences, course promotion sequences, follow-up emails, and other relevant workflows.
  • Configure forms, landing pages, subscriber groups, and automation triggers as supported by the platform and agreed strategy.
  • Support evergreen webinar or masterclass registrations and subsequent email follow-ups.
  • Promote the client's books, courses, coaching services, and other approved offerings.
  • Monitor email campaign performance, including opens, clicks, conversions, and unsubscribes, where available.
  • Maintain good email marketing practices, including consent, unsubscribe functionality, and applicable privacy requirements.

F. Blog management and content repurposing

  • Help maintain the client's weekly blog publishing schedule.
  • Work with Shannon's existing written materials, voice notes, ideas, and recordings.
  • Use AI tools to help organize, draft, edit, and repurpose content.
  • Proofread every piece of content carefully before publication.
  • Publish or distribute blogs to the relevant platforms, prioritizing Facebook and LinkedIn and using other channels when appropriate.
  • Turn each blog into multiple supporting content pieces where suitable, such as social media posts, email newsletters, short video scripts, and educational snippets.
  • Maintain a content calendar and an organized library of published and reusable assets.

Shannon has already used Claude extensively to develop an AI writing environment trained on her existing materials. The VA should build on this existing resource rather than starting from scratch.

G. Booking and client inquiry support

  • Maintain and promote the client's free introductory call, currently described as a 20–30-minute call.
  • Help clarify the call's name and positioning, as the website and booking pages may currently use different names, including MindShift Call and TruthMap Call.
  • Check and maintain the existing Calendly booking pathway and ensure relevant links work correctly.
  • Include clear calls to action in appropriate marketing content, directing interested prospects to book a call.
  • Coordinate with Shannon regarding her availability and shared calendar.
  • Flag relevant inquiries and potential client bookings for Shannon to handle personally.

The client is happy to show up for calls and work directly with people who are a good fit. The VA's role is to help generate and facilitate those opportunities, not to replace Shannon in delivering her services.

H. Book marketing and future publishing support

This responsibility will expand as the client's children's picture book venture progresses.

  • Support the marketing of Shannon's existing published books and digital products.
  • Develop promotional content using existing book materials, excerpts, relevant themes, and approved testimonials or reviews.
  • Explore appropriate ways to direct readers to the client's existing book sales pages and online shop.
  • Support launch campaigns for future books, including content calendars, promotional emails, and social media campaigns.
  • Help prepare and execute a coordinated marketing push around children's picture book launches.
  • Once the new picture book venture is ready, assist with building awareness and promoting the books across relevant platforms.
  • Support the client's future book business with her daughter-in-law, as priorities and publishing arrangements become clearer.

The client is currently working with her daughter-in-law on the first children's picture book and is exploring finding an agent and securing publication. This is a future growth area rather than the immediate priority.

I. Online TV show and podcast administration — temporary responsibility

The client currently hosts an online TV/podcast-style show that primarily features guest interviews. However, she has stated that she does not intend to renew the show's contract and expects the show to end in February.

Until the show concludes, the VA may be asked to:

  • Update and maintain the guest and episode tracking spreadsheet.
  • Organize guest information, episode details, and relevant resources.
  • Send appropriate guest resources through MailerLite.
  • Keep records and associated content organized.
  • Identify useful interview clips or material that can be repurposed for the client's broader marketing.

This is a lower-priority, temporary responsibility and should decrease once the show ends. The exact end date should be confirmed during onboarding.

J. Administrative and operational support

Administrative work is secondary to marketing and growth.

As time allows, the VA may assist with:

  • Organizing marketing materials, documents, and content libraries in Google Drive/Google Docs.
  • Maintaining spreadsheets, trackers, and content calendars.
  • Organizing campaign assets and keeping links and records up to date.
  • Documenting repeatable processes and maintaining a simple record of completed tasks and pending approvals.
  • Providing occasional general administrative assistance related to the client's businesses.

The client can handle routine administrative work herself. The VA's time should therefore be allocated primarily to marketing strategy, implementation, content distribution, and revenue-generating initiatives.

Required skills and qualifications

Essential skills

  • Demonstrable experience in digital marketing, social media marketing, or marketing-focused virtual assistance.
  • Strong understanding of attraction marketing, organic marketing, and audience-building strategies.
  • Experience creating and managing content calendars and maintaining consistent publishing schedules.
  • Ability to repurpose long-form content into multiple formats for social media, email, and other channels.
  • Strong copywriting, editing, proofreading, and content organization skills.
  • Excellent written English, with outstanding spelling, grammar, punctuation, and attention to detail.
  • Experience with email marketing and automation, preferably MailerLite.
  • Understanding of sales funnels, lead magnets, landing pages, email sequences, and online course marketing.
  • Ability to plan and implement campaigns with minimal supervision once goals and processes have been agreed upon.
  • Strong communication skills, including the ability to explain ideas, make recommendations, and provide clear progress updates.
  • Ability to prioritize tasks, manage deadlines, and adapt to changing business priorities.
  • A proactive, resourceful, and solutions-oriented approach.

AI and brand voice requirements

The client is enthusiastic about AI and already uses Claude to support her writing and content development.

The VA should:

  • Be comfortable using Claude and other relevant AI tools to improve productivity.
• Work within the client's existing Claude setup, subject to the access and sharing options available.
  • Learn the client's writing style, philosophy, vocabulary, stories, and tone by studying her existing materials.
  • Use AI to accelerate drafting and repurposing, not as a substitute for thoughtful marketing.
  • Edit and fact-check all AI-generated content before publication.
  • Ensure that content sounds natural, authentic, and recognizably like Shannon.
  • Avoid generic, repetitive, formulaic, or obviously AI-generated copy.
  • Preserve the client's personal voice and communicate her message respectfully and accurately.

Non-negotiable: AI may assist with content creation, but all published work must sound like Shannon, not like a generic AI-generated brand.

Ideal candidate profile and working style

The ideal VA will be:

  • Proactive: Brings ideas, recommendations, and solutions instead of simply waiting for instructions.
  • Independent: Can take ownership of marketing execution without requiring constant supervision.
  • Collaborative: Welcomes Shannon's ideas and communicates their own suggestions clearly.
  • Meticulous: Has excellent spelling, grammar, formatting, and attention to detail.
  • Reliable: Follows through on commitments, communicates availability, and meets agreed deadlines.
  • Organized: Can manage several business priorities and keep work moving forward.
  • Adaptable: Comfortable adjusting priorities as courses, books, and business ventures evolve.
  • Empathetic and open-minded: Comfortable working with a client in the healing, coaching, spirituality, and personal development space.
  • Creative and commercially minded: Understands how to turn existing content and expertise into marketing opportunities and potential revenue.
  • Relationship-oriented: Interested in building a stable, long-term working partnership.

Shannon prefers a female VA and would particularly value someone who is open to energy work and healing concepts, even if they do not have direct experience in those fields.

She wants a calm, peaceful, respectful working relationship with good communication and some humor. She also values a VA who appreciates that she will recognize and reward good work.

Working arrangement

  • Initial commitment: Minimum of 10 hours per week.
  • Potential expansion: Hours may increase as the workload grows, especially during initial funnel setup, major campaigns, and book launches.
  • Schedule: Flexible; the VA does not need to match Shannon's UK working hours, provided agreed deliverables, communication windows, and deadlines are met.
  • Availability: The client wants someone who can accommodate additional hours when needed, not a VA who is permanently limited to 10 hours per week.
  • Communication: WhatsApp for regular communication and quick updates; Zoom for face-to-face meetings and planning sessions.
  • Meeting cadence: Weekly Zoom check-ins during onboarding and initial implementation, potentially moving to weekly or biweekly meetings once workflows are established.
  • Supervision: Collaborative during the initial setup, with increasing autonomy as the VA learns the business and establishes systems.
  • Engagement: Intended as a long-term partnership rather than a short-term assignment.
