We're on a mission to transform early childhood education through AI-powered solutions. To support our rapid scaling, we're looking for a highly organized, proactive professional to serve as the execution backbone for our marketing and events pipelines.


The Opportunity

As our Marketing Operations & Events Coordinator, you'll be the execution backbone for our marketing and events pipelines: conference logistics, sponsorships, campaigns, and data tracking. This role is built for someone exceptionally organized, detail-obsessed, and proactive — whether you come from a marketing background or a strong administrative/events-coordination background, a genuine curiosity for how marketing actually works and a habit of learning fast are what matter most.


Operating 100% remotely from Latin America or the Philippines, you'll work directly with our CEO and Marketing team to make sure everything — from conference selection and execution, to campaign support and post-event lead conversion — runs flawlessly.


What You'll Be Doing

  • Assist with contract management, vendor invoice tracking, purchase requests, and daily bookkeeping using Excel and QuickBooks Online
  • Support the planning and execution of conferences, trade shows, webinars, and other events — timelines, budgets, deliverables, registrations, travel, booth logistics, and shipment/inventory of event materials, plus onsite/virtual execution when needed
  • Review sponsorship agreements, track deliverables (ads, social posts, speaking slots, exhibit tables) to confirm we receive every contracted benefit, and keep organized records of packages, invoices, and contacts
  • Research conferences, associations, and sponsorship opportunities relevant to school districts, education organizations, and industry stakeholders; help evaluate which are worth attending based on relevance, cost, and expected return, and prepare clear recommendations for leadership
  • Maintain accurate conference, sponsorship, contact, and budget trackers in Google Workspace and HubSpot CRM; clean and deduplicate data to keep it reliable
  • Track registrations, leads, and post-event outcomes; support reporting on event performance
  • Assist with email campaigns, registration/RSVP forms, and routing hot leads to sales
  • Post-event: distribute leads to the right team members, document notes in the appropriate systems, and compare results against goals to inform future participation decisions


What Makes You the One

  • 2+ years as an Executive Assistant, Operations Coordinator, Events Coordinator, or Marketing Coordinator (required)
  • Based in LATAM or the Philippines, C1 English, available 8:00 AM–4:30 PM PST (required)
  • Highly organized and detail-obsessed, comfortable juggling multiple priorities
  • Proactive lifelong learner — solves problems before being asked, picks up new tools fast
  • Strong Google Sheets skills, plus familiarity with QuickBooks Online, Zoom, and Excel
  • Experience with or quick to adapt to HubSpot, monday.com, or similar CRMs
  • Hands-on with AI tools (Claude, ChatGPT) and comfortable using AI automations
  • Marketing degree highly preferred (or equivalent know-how) — should understand the marketing funnel, B2B vs. B2C, and how to evaluate event/sponsorship ROI
  • Nice to have: conference/event coordination experience, EdTech or education background, Mailchimp/Canva, Google Apps Script or AI workflow automation, experience with school districts or government-funded programs

  • Initial Salary: US $1,440/month (equivalent to $9.00/hour) during the 90-day training/probation period. After probation, salary can be revisited up to US $10–11/hour depending on performance
