The Membership Coordinator provides coordination and operational support to the Development Department, helping ensure the systems, processes, and day-to-day activities that support membership and fundraising efforts run effectively.
The role supports membership stewardship and events, data preparation and verification, project coordination, and department administration. The Membership Coordinator maintains the Development Annual Project Plan and tracks deadlines and follow-up across the team, prepares and verifies donor and member data for communications and reporting, and provides administrative support to the Chief Development Officer and broader Development team.

This is a full-time, 40-hour-per-week hybrid position. Employees are expected to work onsite in alignment with CHM's hybrid work expectations of 1 to 2 days onsite for Development events, meetings, and other department needs. The Membership Coordinator maintains the Development Annual Project Plan and tracks deadlines and follow-up across the team, prepares and verifies donor and member data for communications and reporting, and provides administrative support to the Chief Development Officer and broader Development team.
Responsibilities
Membership Stewardship & Events
- Coordinate printing and mailing of bi-weekly donor acknowledgement letters.
- Prepare and coordinate monthly pledge reminders.
- Coordinate annual donor tax receipt distribution.
- Provide additional membership and donor stewardship support as needed.
- Provide day-of coordination and support for Development events, including Annual Core Appreciation, Annual President's Lunch, and quarterly Membership Receptions.
- Coordinate Development event details and follow-up as assigned.
- Review and manipulate data exports and spreadsheets for donor and member communications, acknowledgements, reporting, events, and other Development activities.
- Clean and format spreadsheets according to the requirements of each communication or project.
- Identify missing, inaccurate, or inconsistent data and submit data service requests/tickets for corrections.
- Maintain the development annual project plan in Airtable, ensuring projects, responsibilities, deadlines, and deliverables are accurately captured.
- Track upcoming deadlines and follow up with team members to help ensure work is completed on time.
- Support ongoing department workflows and project tracking.
- Manage the CDO’s calendar, ensuring alignment with key events, meetings, and deadlines.
- Create department purchase orders as needed.
- Complete monthly credit card reconciliation for the CDO.
- Track notes, action items, and follow-up from prospect and Development meetings.
- Provide administrative and coordination support to the Development team as needed.

- Project & Deadline Management: Able to maintain project plans, track deliverables and deadlines, follow up with team members, and help keep department work moving forward.
- Attention to Detail & Accuracy: Demonstrates strong attention to detail when working with donor information, correspondence, acknowledgements, pledge reminders, financial documentation, calendars, and other Development records.
Background, Experience, Skills and Education
Education & Experience
- Bachelor’s degree preferred
- 2+ years of experience in an administrative, coordinator, project support, or similar role
- Demonstrated experience managing multiple priorities, deadlines, and administrative responsibilities.
- Experience managing donor databases and tracking software (Salesforce or similar).
- Experience working with spreadsheets and data, including reviewing, cleaning, manipulating, and formatting information for communications, reporting, or other business needs.
- Proficiency with project management tools, particularly Airtable.
- Experience with standard office equipment, including multi-function printers, scanners and mailing systems.
- Ability to learn and work effectively in project management and other department systems.
- Excellent verbal and written communication skills, with a high attention to detail.
- Exceptional customer service skills.
- Strong organizational and time management abilities to manage multiple priorities and deadlines.
- Problem-solving skills, with the ability to anticipate needs and proactively address issues.
- Experience supporting a nonprofit development, fundraising, membership, or advancement team.
- Experience working with donor or member information and Development-related processes.
- Experience providing administrative support to a senior leader.
