Mission
Set the Root team up to do their best work.
You will own the physical and logistical foundations that underpin how the Root team operates. This means seamless onboarding and offboarding, making sure that everyone has access to the right tools and equipment, that Root’s offices are spaces people choose to work from, and that events run smoothly
You will report to the Chief of Staff and work closely with everyone in the Root team, hiring managers, new joiners and some of our suppliers.
Outcomes

The office is clean, well maintained and consistently stocked.
Cleaners, supplier and vendor relationships are managed.
Common areas, meeting rooms and desk layouts support connection as well as focused work.
Equipment, connectivity and shared infrastructure work reliably, and faults are fixed quickly without disrupting the team.
Office expenses are tracked, stay within the agreed budget and expected overruns are flagged early.
The office atmosphere reflects Root’s culture, our people and the pride we take in our work.
Events people look forward to
A reliable cadence of team events are planned, coordinated end to end, and expertly run.
Client, investor and other non-team events are planned, coordinated end to end, and expertly run.
Recurring initiatives, including milestones, book club, lunch ’n learns and Root Academy, are sustained and run consistently.
Event feedback is gathered and used to raise the standard of delivery.
Hiring logistics are seamless
Interview and sim day logistics are owned on behalf of hiring teams, including scheduling, space and equipment setup, candidate communications, refreshments and debrief coordination.
On-site candidate interactions are professional and reflect well on Root.
New joiner logistics are complete before day one, with equipment ordered, access provisioned, desk assigned and welcome materials ready.
People operations are complete and current
Onboarding and offboarding are executed completely and consistently.
The Chief of Staff is kept informed of anything material affecting the office, team experience or supplier relationships.
Competencies & experience
Managing multiple workstreams at once, including events, supplies, hiring logistics and onboarding, using checklists, confirming details in advance and following up.
Taking ownership of the environment and the experience without needing oversight.
Precision and professionalism on sim days and other candidate-facing interactions.
Understanding what makes people feel welcome, valued and included, and designing events and spaces with intent.
Building genuine relationships across teams.
Communicating proactively, so hiring managers and candidates know what to expect before any step of the hiring process, new joiners know what is happening before day one and the Chief of Staff is informed without having to ask.
Experience managing vendors, supplier relationships and operational budgets, including negotiating terms, holding vendors to standard and flagging spend issues early.
2 to 4 years of experience in office management, executive assistance, people operations or events coordination.
Proficiency in Google Workspace and Slack.
Experience coordinating interview or assessment logistics is a strong advantage.
Technology startup background preferable.
How we enable success:
Our team is made up of smart, passionate, and kind individuals working together to build a world-class business. We take the time to develop personal relationships with each other. Over and above daily team lunches, we do frequent team outings and ad-hoc adventures (when global pandemics permit!).
We create and enable an environment for people to do their best work. To support this, we focus on a culture of autonomy, transparency and trust. As a startup, we care a lot about innovation, and believe in an iterative way of working to drive innovation forward. We encourage each other and foster a working culture of sharing early versions of our work and implementing feedback fast.
Why join us?
We have ambitious goals. Our mission is to transform insurance, globally, and we’re making solid progress in South Africa and the UK. Your contribution will directly and visibly impact Root’s continued success and expansion.
Our team is incredibly friendly and collaborative. If you care about solving challenging problems with smart people you enjoy being around, this is the place for you.
Please note… Open positions at Root are competitive and we often receive high volumes of applicants. If you have not received further updates on your application after three weeks, you’re welcome to request feedback.
