About Brooks Brooks Ecological is a multidisciplinary environmental consultancy delivering market-leading, cost-effective technical expertise to clients across the UK. Our work supports a wide range of projects, from residential and commercial development to renewable energy and infrastructure, as well as projects for government bodies and NGOs. We work closely with our clients throughout the life of a project, developing a clear understanding of their needs and delivering practical solutions that achieve the best possible outcomes. Our core expertise is in ecological consultancy, alongside growing arboricultural consultancy and landscape design teams. By bringing these disciplines together, we provide genuinely collaborative consultancy services that help our clients maximise opportunities, minimise delays and deliver successful projects. As we continue to grow, we're looking for an experienced and proactive Office Manager to play a key role in keeping our people, processes and projects running smoothly. The role will include: As Office Manager, you will be at the heart of the business, overseeing the day-to-day running of our office while providing essential support to our people, project teams and wider operations. This is a varied and hands-on role for someone who enjoys taking ownership, solving problems and making things work better. You'll work closely with colleagues across the business, helping to create an organised, efficient and positive working environment where our teams can do their best work. You'll also play an important role in supporting project delivery through our incoming Professional Services Automation (PSA) system, Kantata, helping project teams stay organised and ensuring key administrative and operational processes run effectively. You will be integral to collaboration with our parent company – Origin Enterprises, ensuring delivery of key administrative information including health and safety, and sustainability reporting. What You'll Be Responsible For: Office & Operations Take ownership of the smooth day-to-day running of the office. Manage office supplies, equipment, facilities and relationships with relevant suppliers. Maintain effective digital and physical filing systems, ensuring information is handled securely and confidentially. Manage incoming communications and correspondence. Identify opportunities to improve office processes and ways of working. Reporting key data to our parent company. Team Support Line-manage Administrative Assistants and other members of the support team. Support HR and people processes, including onboarding, training coordination and record-keeping. Assist with timesheets, expenses and payroll administration. Provide practical and administrative support to colleagues across the business. Finance & Procurement Support credit control by liaising with finance teams, processing invoices and purchase orders, and following up outstanding client payments. Monitor office-related expenditure and budgets. Coordinate procurement and supplier relationships. Health, Safety & Compliance Help ensure the office operates in accordance with relevant health and safety requirements. Maintain risk assessments, emergency procedures and other compliance documentation. Support the implementation of company policies and procedures. Project Coordination Provide administrative support to project teams. Assist with document preparation and client communications. Help project teams monitor timelines, tasks and deliverables through Kantata. Support accurate and timely project administration across the business. Key Requirements: We're looking for someone who is organised, dependable and naturally proactive — someone who sees what needs doing and gets on with it. You'll ideally have: Proven experience in office management, administration or a similar operational role. Excellent organisational skills, with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills. Excellent attention to detail and a practical, problem-solving approach. Confidence using Microsoft Office and cloud-based systems such as Teams and SharePoint. The ability to work independently while also being a collaborative member of the wider team. A professional, approachable and positive manner. Desirable Experience: Experience working within an environmental, engineering, planning or consultancy business. Experience supporting project-based teams. Familiarity with project management or Professional Services Automation (PSA) systems. An interest in ecology, conservation, sustainability or the natural environment. Why work for us? The ability to communicate and collaborate effectively using Microsoft Teams, as well as working with colleagues in person, is essential.
