Operations & Client Coordinator, small accountancy practice (English and Romanian)
Aprotax · Fully remote (Romania or UK) · £2,500-£3,000 a month (£30,000-£36,000 a year), depending on experience · Initial 6-month contract with a review, then long-term and a performance bonus
We're Aprotax, a Bristol accountancy practice that has worked with more than 400 clients since 2019, mostly in transport, construction and healthcare, many of them Romanian. We're Alex and Anca, the founders. We've built a lot of our day-to-day work on AI agents, and we're looking for the person who runs it.
This isn't a classic accountant's job. You won't spend your day typing invoices. The agents do most of the bookkeeping, tax return preparation, VAT and payroll drafts. Your job is to make sure the whole thing runs, that nothing slips, and that every client feels they're talking to a person who knows them.
What you'll do
Run the weekly operation: deadlines, the work the AI agents prepare, what's waiting on clients, what goes out the door
Be the main contact for our clients on WhatsApp, email and phone, in English and Romanian. You pick up the calls and the messages, and you make sure every client gets an answer the same working day. That's our promise to clients, and you're the person who keeps it. Use the AI tools to find the right answer, then answer like a human
Spot problems early and fix them, or bring them to us with a suggestion
Talk to new businesses who get in touch, understand what they need, and help them sign up to the right package
Look after onboarding with our automated tools: ID checks, engagement letters, software access, taking over from the previous accountant
Keep improving the system: tell us what breaks and what could be automated next
To be clear about the shape of the role: you run the day-to-day and you're the person clients talk to. Pricing, hiring, firm policies and anti-money-laundering decisions stay with the two founders, and you bring those to us with a recommendation.
Who we're looking for
Very quick to learn. You pick up new software and new rules fast, and you enjoy it
Comfortable with AI tools, or keen to become so. You'd rather build a better process than repeat a bad one
Fluent in Romanian, and confident professional English: you can talk to suppliers, banks and HMRC without hesitating.
Warm and patient with people, including the stressed ones. You can say "no" or "not yet" kindly
Organised, reliable, and able to keep going when it's busy (January is busy)
Accounting knowledge is a plus, not a must. AAT in progress, or a willingness to start it, is welcome. We'll teach you the rest with our playbooks
What you get
£2,500-£3,000 a month (£30,000-£36,000 a year), depending on experience. In Romania this is an invoiced fee, before your own taxes
Fully remote. Work from wherever you work best, as long as clients get a fast, human answer
A real say in how a small, modern practice works
Support towards an accounting qualification (AAT or equivalent) if you want one
A performance bonus after the first 6 months
In Romania we start with a 6-month services contract (through your PFA or company), then move to a long-term arrangement
How to apply
Send a short note (not a cover letter template) telling us about something you learned quickly and how you did it, plus your CV, to contact@aprotax.co.uk. We reply to everyone.
