POSITION SUMMARY

The Operations Coordinator is a highly organized, detail-driven partner who helps support portfolio spanning programs, network engagement, research, policy, and operations for the Chief Operating Officer (COO). The Operations Coordinator tracks commitments across a range of workstreams, helps keep projects moving on deadlines, prepares briefing materials and follow-ups, and brings structure to work that often starts unstructured. This is a role for someone who notices what's slipping before anyone else does and closes the loop without being asked, exercising strong organizational skills, attention to detail, and sound judgment in a fast-paced environment. This is a remote position.

Requirements

Administration:

  • Support the COO in the day-to-day coordination of a portfolio spanning programs, network engagement, research, policy, and operations, serving as a helpful point of contact across departments.
  • Track commitments, deadlines, and follow-ups across a range of workstreams, proactively surfacing what's falling behind before it becomes a problem and closing the loop without being asked.
  • Support the COO's calendar and correspondence, helping resolve scheduling conflicts as they arise and keeping the COO's time aligned with organizational priorities.
  • Prepare briefing materials, agendas, and follow-up summaries for the COO's meetings, ensuring decisions and action items are documented, tracked, and routed to the right people.
  • Exercise sound judgment and discretion in handling sensitive and confidential information on behalf of the COO.
  • Draft and route internal and external communications on behalf of the COO, maintaining a consistent and professional voice.
  • Provide administrative and operational support for the COO's office, including correspondence, scheduling, and maintaining project and stakeholder records in Asana and other systems.
  • Build a working understanding of organizational priorities, programs, and operations to effectively support the COO.


Program & Portfolio Management

  • Support day-to-day tracking of the COO's portfolio of programs, initiatives, and cross-functional projects, using Asana or comparable project management platforms to maintain visibility into status, owners, and deadlines.
  • Bring structure to work that often starts unstructured, translating priorities into clear tasks, timelines, and owners.
  • Check in with program and department leads to monitor progress against milestones, flagging risks and helping coordinate resolution before deadlines slip.
  • Support execution of special projects and cross-functional initiatives, helping ensure alignment, clear communication, and timely delivery of priorities.
  • Prepare regular portfolio status updates for the COO.


Network Engagement & Communications

  • Support the COO's engagement with Prosperity Now's national network of partners, affiliates, and stakeholders, coordinating outreach, scheduling, and follow-up.
  • Help maintain relationships with key internal and external stakeholders on behalf of the COO, in coordination with relevant teams.
  • Draft correspondence, talking points, and materials to support the COO's network and external engagements.
  • Track commitments made to network partners and stakeholders and help ensure timely follow-through.


Research & Policy

  • Conduct research and synthesis on financial security, community development, and economic mobility policy topics to inform the COO's priorities and decision-making.
  • Use AI tools to draft, summarize, research, and streamline routine work, applying sound judgment to review and refine output before it is used.
  • Support the development and production of briefing memos, summaries, and talking points that translate research and analysis into clear, actionable material for the COO.
  • Monitor relevant policy and sector developments and flag items of relevance to the COO.
  • Perform other duties as assigned.


Qualifications:

  • 1 to 3 years of relevant professional experience, including administrative, coordinator-level, or project support experience.
  • Bachelor's degree or equivalent experience required; interest in financial security, community development, or economic mobility policy preferred.
  • Fluency with Asana or comparable project management platforms, with experience using them to track multiple workstreams.
  • Comfort using AI tools to draft, summarize, research, and streamline routine work, paired with the judgment to review and refine their output.
  • Strong writing and synthesis skills, with the ability to turn unstructured information into clear, well-organized materials for a variety of audiences.
  • Sound judgment handling sensitive and confidential information.
  • Strong organizational skills and meticulous attention to detail, with a track record of managing multiple deadline-driven priorities to completion.
  • Strong problem-solving skills, with the ability to anticipate issues and help resolve challenges quickly in a fast-paced environment.
  • Experience building and maintaining relationships with diverse internal and external stakeholders.

  • Proficiency with standard business tools and systems (e.g., Microsoft Office, Asana, Salesforce or similar CRM platforms).


Supervisory Responsibility: None


Work Environment and Travel: This job operates in a professional office environment and is 100% remote. Travel and onsite presence is required for board meetings, organizational events, and conferences as needed (estimated 10%).

The employee must frequently remain stationary and constantly operate computers and other office productivity machinery.


FLSA Classification: Non-Exempt


Salary Range: The hourly range for this position is $21.59 per hour to $39.95 per hour, with a midpoint of $30.77 per hour.


Grade/Level: 1
