As the Operations & Events Coordinator, you will report to and work closely with the Manager of Operations, to ensure that all projects and events run smoothly, effectively, and professionally. You will lead the detailed planning and support the execution of international events and assist in communications at all stages. Additionally, you will collaborate with the Learning & Development team to ensure the operational planning and execution of supporting training meet the required standard.

The Practicalities

This role is based at our Cape Town office. During the 90-day probationary period, this position requires full-time office presence for an accelerated onboarding program. Thereafter, the role requires a minimum of three out of five days per week in-office. The role includes some travel to project sites, with on-site commitments lasting 1-2 weeks per trip. During these high-intensity phases, the role demands adaptability and a commitment to delivering exceptional results within tight timelines.


Position Responsibilities:

The Operations Coordinator’s purpose is to own the detailed operational coordination during the planning and execution phases to ensure our events and projects run seamlessly to McGillicuddy Hospitality’s standard of excellence.


  1. Owns hands-on operational coordination of all projects and international events, including ship launches, hospitality schools, hotel openings, training operations, leadership development programs and other related activities.
  2. Oversee the detailed planning of all operational projects, including venue logistics, budget maintenance, attendee experience / team building, and event evaluation.
  3. Provides hands-on operational support during the execution of all projects, including ship launches, hospitality schools, hotel openings, training operations, leadership development programs and other related activities.
  4. Ensures all stakeholders are kept aware and informed of all necessary developments at all project stages to ensure continued alignment with the client.
  5. Owns contingency planning, operational readiness and project/event close-out responsibilities.
  6. Create well-designed and creative presentations, reports, and supporting materials that communicate clearly to the desired target audience. This includes reports, webinars, information letters, schedules and other correspondence as required.
  7. Collaborate with the Learning & Development Team to ensure the planning and execution of all training activities are delivered to the required standard.
  8. Lead the logistics of ensuring required training venues and materials (printed or otherwise) are in the required location in adequate time for training program execution.
  9. Oversee supplier management across projects, including sourcing, cost comparisons, ideation, production coordination, and timely delivery of goods and services. Use commercial judgement for sound decision making and maintain clear communication with suppliers to ensure alignment on quality, timelines, and budget.
  10. Support the development and implementation of internal processes to improve operational efficiency and project consistency. Continuously identify opportunities for streamlining workflows, standardizing documentation, and enhancing team collaboration.
  11. Attention to detail in all aspects of event management, including contracts, timelines, and attendee requirements.
  12. Other responsibilities and duties as required.

Position Requirements

The requirements of the position are as follows:

  • High School Matric Certificate required; tertiary level of education preferred
  • Degree/Diploma in Hotel Management and/or Event Management is highly advantageous
  • Minimum of 2 years of international events, conferences, project coordination, training operations, hotel openings or complex hospitality operations essential
  • Cruise, Hospitality Industry or international event management experience is highly advantageous
  • Demonstrated understanding of business processes and practices
  • Comfortable communicating professionally with senior client stakeholders and executives
  • Proven ability to take initiative, manage multiple projects, multi-task effectively, and prioritize while meeting stringent deadlines
  • Exceptional demonstrated attention to detail with agile problem-solving skills
  • Demonstrates active listening skills and can process instructions easily
  • Ability to work independently and as part of a team
  • Self-starter that’s highly motivated and thrives in a fast-paced environment
  • Master of multi-tasking, ability to adapt & take on tasks and projects in a fast-paced environment
  • Excellent written and spoken English with exceptional administrative and organizational skills
  • Excellent proficiency in PowerPoint, MS Word, and MS Excel
  • Exceptional work ethic and desire to support the team in every way possible
  • Confidence working with international clients, suppliers and teams across time zones
  • Cape Town-based hybrid role with regular attendance at the Newlands office and reliable transport required
  • Holds a valid passport and can travel internationally up to 25% of the time
