Job Title: Operations Specialist
Monthly Pay: $4,357 - $5,848 USD per month
Summary:
An internal operations request arrives, is checked for missing details, moves through assigned steps, and closes with a clear outcome. The Operations Specialist handles these routine workflows accurately so colleagues can keep their work moving without losing track of outstanding actions. This position sits within the operations team, works under an operations team lead, and collaborates with requesters, task owners, and other internal teams. The position is fully remote, with work from home in Oregon, United States, focused entirely on desk-based coordination and operational checks. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming internal requests from shared email and task queues, identify the requested outcome, and establish which standard workflow applies before beginning work.
- Check request details for completeness, confirm the responsible team, and ask the requester targeted questions when information needed to proceed is missing.
- Create and update task entries using a project management tool such as Jira, recording request descriptions, ownership, current status, and expected next steps.
- Carry out assigned operational checks against established procedures, compare task information with the original request, and flag mismatches before moving work forward.
- Arrange routine handoffs between internal teams, making sure each receiving task owner has the context and instructions needed to continue the request.
- Monitor open items and approaching due dates, follow up with responsible colleagues, and update requesters when progress depends on another team's response.
- Escalate unresolved discrepancies, unclear instructions, competing priorities, or stalled work to the operations team lead with concise notes about checks already completed.
- Maintain workflow instructions by noting recurring questions and suggested clarifications, submitting proposed changes to the operations team lead for review before use.
- Check completed work for accuracy, turnaround, complete notes, and appropriate follow-up, using these measures to support consistent quality across routine requests.
- Confirm that requested actions are complete, communicate the outcome to the requester, close the task, and summarize recurring delays for team review.
Qualifications:
- High school diploma or equivalent.
- Approximately 1-2 years of operations support or related administrative workflow experience preferred, particularly handling internal requests through completion.
- Understanding of routine business operations, task ownership, handoffs, and the importance of following established procedures consistently.
- Familiarity with shared task queues and a project management tool such as Jira, including updating statuses and tracking outstanding actions.
- Ability to compare information, identify missing details, and explain discrepancies without making unsupported assumptions about the correct outcome.
- Clear written communication for requester updates, concise task notes, follow-up messages, and escalation summaries that colleagues can act on.
- Ability to organize competing requests, recognize dependencies, and use team guidance when priorities or instructions conflict.
- A reliable computer, high-speed internet, and quiet private workspace, plus availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
- Fully remote work from home in Oregon, supporting internal operations through desk-based tasks.
- Structured onboarding and training on established workflows and a project management tool such as Jira.
- Regular check-ins with the operations team lead to review questions, priorities, and progress.
- Opportunities to build operational analysis, workflow checking, quality control, and cross-team coordination skills.
- Health coverage, paid leave, maternity leave, bonus opportunities, and stipends.
