Role Overview:
The primary responsibility of the Payroll Coordinator role is to support the accurate, timely and compliant delivery of payroll, with ownership of Support Office payroll and backup support across Retail and New Zealand payroll processing. The role is responsible for maintaining employee payroll data, coordinating timesheet and leave checks, responding to routine payroll queries, supporting payroll reporting and reconciliations, and helping build strong payroll processes, documentation and controls.
Key Responsibilities:
Payroll Processing and Employee Data
- Own the preparation and processing of Support Office payroll, ensuring payroll inputs are accurate, complete and processed within agreed timelines.
- Build capability to provide backup support across Retail and New Zealand payroll processing as required.
- Set up new starters and process employee changes, ensuring employee records are maintained accurately across payroll and people systems.
- Maintain employee payroll data including position, salary, banking, tax, superannuation and personal details in line with internal processes.
- Support termination processing through preparation of accurate data and documentation for manager review.
Timesheets, Leave and Payroll Checks
- Review timesheets, leave entries and approvals, following up missing or incomplete information with employees, managers and Retail leaders.
- Monitor timesheet and leave exceptions throughout the pay cycle to support timely resolution and reduce end-of-cycle delays.
- Assist with standard pre-payroll checks, reconciliations and variance reviews, escalating errors, risks or exceptions to the Payroll Manager.
- Apply established payroll rules and procedures consistently, including award-related checks, leave loading processes and compliance checks as directed.
- Support month-end, year-end, audit, WGEA and other reporting requirements through accurate data preparation and validation.
Payroll Systems, Reporting and Process Support
- Maintain employee data, timesheet support processes and user administration across Employment Hero and Dayforce, including password resets, login support, new store setup and geofencing updates.
- Run scheduled and ad hoc payroll reports as required, ensuring data is accurate and provided within requested timeframes.
- Validate superannuation details and assist with resolving fund payment rejections by liaising with employees to update required information.
- Maintain payroll procedures, checklists and process documentation, updating materials as processes or system requirements change.
- Identify repetitive payroll tasks, support testing of process improvements and use available tools to improve accuracy, efficiency and compliance.
Payroll Queries and Relationship Management
- Act as the first point of contact for routine payroll queries, responding in a timely, professional and confidential manner.
- Follow up outstanding payroll information with employees, managers and operational leaders to support accurate and timely payroll outcomes.
- Escalate complex, sensitive or high-risk payroll matters to the Payroll Manager with clear context and supporting information.
- Partner effectively with P&C, Finance and Retail operations to support payroll accuracy, compliance and service delivery.
Qualifications:
- Previous payroll experience, ideally within a multi-site retail, corporate or similar fast-paced environment.
- Experience with Australian payroll is essential, New Zealand payroll experience is desirable.
- Experience working with the General Retail Industry Award (GRIA) is highly desirable.
- Working knowledge of payroll processes, timesheets, leave, superannuation, tax, employee changes and payroll compliance requirements.
- Strong attention to detail and ability to work accurately with confidential employee and payroll information.
- Comfortable using payroll, HRIS and workforce management systems, specifically - Employment Hero and Dayforce, with the ability to learn new system functionality quickly.
- Intermediate Microsoft Excel skills and ability to prepare, check and reconcile payroll data.
- Strong organisational skills, with the ability to manage recurring deadlines, competing priorities and time-sensitive payroll tasks.
- Clear, professional and employee-focused communication style, with the ability to explain payroll information simply and confidentially.
- A continuous improvement mindset, with willingness to identify process gaps, test improvements and support automation opportunities.
Schedule:
- Monday to Friday, 7am to 4pm PHT
