About the role:
As Flare's People & Culture Coordinator, you’ll be the operational backbone of our P&C function and a true partner to the team. We've built strong foundations, and your mission will be to help us scale while staying true to our unique culture. We need someone who’s organized, proactive, and autonomous to keep our People & Culture function
running smoothly, and who knows when to solve things directly and when to flag them. You’ll own meaningful work from day one and be deeply involved in our tools, processes, and with our people, while also shaping how the function evolves as we scale.
The reality of the role:
Most coordinator roles are about keeping the lights on. This is not one of those roles. Flare is in a period of hyper-growth – our organization, tools, and processes are evolving in real time, and what works today may need to be redesigned tomorrow. You must be excited about finding better ways of solving recurring problems.
This role is a truly unique opportunity to help build and be a part of a best-in-class P&C function at a hypergrowth startup and scale it alongside the business.
What makes this role unique:
- Ownership & breadth: You will own the operational layer of our P&C function across multiple locations and areas — HRIS management, payroll, perks, recruiting & onboarding, office life, and internal communications — giving you the opportunity to have a tangible, daily impact on the Flarian experience.
- Building while flying: You will figure things out, document what you learn, and flag what isn't working — driving continuous improvement, not just maintaining the status quo.
What you'll do concretely:
- Manage and maintain our HRIS (BambooHR): employee records, workflows, reporting, and data integrity.
- Coordinate payroll and benefits administration across Canada, the US, and the UK, working closely with payroll providers and brokers to ensure absolute accuracy and compliance.
- Support recruitment operations: open and manage roles in BambooHR, own our recruiter seat on LinkedIn and manage postings, and use it to support hiring managers with sourcing candidates as needed. You’ll also prepare and send offer letters and hiring packets to new Flarians.
- Own onboarding operations: prepare new hire paperwork, coordinate first-day first-day logistics, and ensure a smooth, welcoming Flarian experience.
- Manage our Montreal office, keeping it tidy and stocked with snacks, and coordinate company events, including 5 à 7s (happy hours), virtual events and our magical annual offsite we call Flamping.
- Serve as a first point of contact for Flarian questions, and support internal communications on P&C frameworks, perks, programs and policies.
- Support HR compliance across our jurisdictions, keeping policies, filings, and documentation up to date.
You'll be a perfect fit if you have/are:
- 5 years of experience in HR/P&C operations, coordination, or a similar administrative role.
- Exceptional
written and spoken communication skills — you can write clearly for different audiences and communicate confidently with internal stakeholders from IC to Executives, various providers, and partners. - A high degree of trustworthiness and autonomy — you own tasks end-to-end and follow up proactively, without needing to be chased. You are also able to manage recurring deadlines, flag issues proactively, and carry problems all the way to fixed.
- Exceptional attention to detail and rigor, with a consistent track record of high-quality output in everything you do.
- A proactive mindset — you anticipate issues rather than wait for them to surface.
- A systems-builder's instinct — when something breaks or repeats, you fix the process, not just the symptom.
- Strong working experience with HRIS systems (BambooHR experience is an asset), payroll processes, and benefits administration.
- Experience with onboarding coordination and general office management.
- Sound judgment on when to solve issues directly and when to escalate them.
- Thrive in a small team environment where everyone's contribution is visible and valued.
- Fanatically ethical, trustworthy with confidential information, and possess a high standard of accuracy and integrity.
- Montreal-based and proficient in both French and English to collaborate with internal and external partners.
Ideally you have:
- Experience at a hypergrowth SaaS or tech company.
- Experience with payroll or benefits administration in multiple jurisdictions (Canada, US, UK).
- Exposure to recruiting or sourcing, including managing job postings and candidate pipelines on LinkedIn.
- Experience managing HR compliance aspects.
- Experience in event planning and/or office management.
- High level of comfort with using technology and automation to streamline administrative work.
