The role


We are looking for a Personal Assistant / Operations Coordinator to support the Director directly in organising activities, following up on projects and coordinating multiple parallel workstreams.

The position is based in Mexico City under a hybrid working model, with flexibility to work from home when in-person presence is not required.

Key responsibilities include:

  • Managing and prioritising the Director’s calendar.
  • Organising meetings and coordinating across different time zones.
  • Preparing agendas, meeting notes and follow-up actions.
  • Coordinating travel arrangements, meetings and logistics.
  • Following up on the Director’s pending actions and commitments.
  • Communicating with colleagues, clients and partners across Mexico and Europe.
  • Managing correspondence and documentation.
  • Maintaining and updating databases and workspaces in Notion.
  • Supporting project coordination and follow-up.
  • Organising administrative information and documentation.
  • Identifying opportunities to standardise, simplify or automate recurring processes.


The position also includes a development path focused on operations and process improvement.

We are not looking only for someone who can execute administrative tasks. We are looking for someone who can understand how a process works, identify inefficiencies and help build a more organised, repeatable and scalable way of working.


What we are looking for


  • Excellent organisational and prioritisation skills.
  • Good judgement when distinguishing between urgent matters, important work and tasks that can wait.
  • Ability to work independently and make decisions without constant supervision.
  • Reliable follow-up on commitments, deadlines and pending actions.
  • Excellent written and verbal communication.
  • Advanced English for professional communication.
  • Native or fluent Spanish.
  • Ability to coordinate activities across different time zones.
  • Comfort working with digital tools and collaborative environments.
  • Genuine interest in learning and using tools such as Notion.
  • Interest in automation, process optimisation and the practical use of artificial intelligence.
  • Experience or education in administration, business, engineering, project management or a related field will be valued.


Programming knowledge, particularly Python, is considered a plus, especially when it has been used to automate tasks, organise information, work with data or improve administrative processes.
