Role Overview
A private employer is seeking a
highly organised, discreet and dependable Personal Assistant to provide
direct, hands-on support to the employer personally.
The employer is a Hedge Fund Manager with a presence in London and Dubai who oversees multiple
businesses across the United Kingdom, the United Arab Emirates and the British
Virgin Islands. The corporate administration of those businesses is handled
separately by a Group Corporate Administrator. This role is about the employer
as an individual: his time, his movements, his personal affairs and the ad-hoc
matters that arise around a busy international life.
The position revolves around a very
close, tight-knit working relationship with the employer. The successful
candidate will manage the employer’s diary, travel & personal finances and
will make auxiliary decisions to assist the employer where he may not be reachable
or available at a given point in time. For all intents and purposes, this role
is to be the employer’s ‘right hand’ in all private matters.
The role is fully remote (working
from home). The
employer has a presence in London (United Kingdom) and Dubai (United Arab
Emirates); local employment is available in both countries or in any other
countries. The broader employment structure would provide local employment
labour rights, health insurance benefits, sick pay and paid time off (PTO).
UAE residency / visa sponsorship may be available for a suitable candidate.
The role requires working 5 days
a week with some degree of flexibility.
Speaking Russian will be
advantageous, yet by no means mandatory.
The position is to start ASAP.

Responsibilities
Diary and Scheduling
- Manage the employer’s diary across
business and personal commitments.
- Schedule meetings, calls and
appointments across multiple time zones.
- Act as gatekeeper for the employer’s
time, prioritising requests and managing competing demands.
- Incorporate board meetings, signing
deadlines and other fixed corporate commitments supplied by the Group Corporate
Administrator into the employer’s diary and travel plans.
- Monitor the employer’s personal
correspondence and ensure time-sensitive matters are escalated promptly.
Travel and Logistics
- Research, plan and book domestic and
international travel, both business and personal.
- Arrange flights, accommodation,
ground transportation, visas and travel documentation.
- Prepare clear travel itineraries and
manage last-minute changes.
- Coordinate travel requirements
across multiple countries.
- Track passport, visa, residency and
other travel-document expiry dates.
- Manage bookings in a cost-conscious
manner while maintaining the required standard of service and flexibility.
Personal Finances and Administration
- Manage
aspects of the employer’s personal finances with discretion and accuracy:
personal invoices, bills, subscriptions and recurring payments.
- Maintain
personal expense records and supporting documentation.
- Track
personal tax filing deadlines and liaise with the employer’s personal
accountant or tax adviser to provide supporting documents on time.
- Track
expiry and renewal dates for personal documents, memberships and insurance
policies.
- Maintain
strict separation between personal and business finances & records.
Personal
Assistance
- Manage
selected personal appointments, bookings, reminders and administrative
matters.
- Coordinate
private appointments, household services, property-related matters, deliveries and reservations where required.
- Act as
first point of contact for personal matters and handle personal correspondence.
- Support
minor personal tasks that enable the employer to focus on executive,
investment and business responsibilities.
- Make
auxiliary decisions on the employer’s behalf, within agreed parameters, when
the employer is not reachable or available.
- Handle
ad-hoc requests with discretion, efficiency and sound judgment.
- Pass
business invoices, corporate documents and company correspondence that reach
the employer personally to the Group Corporate Administrator.
Candidate Profile
The successful candidate will be highly structured, proactive and
comfortable supporting a demanding employer with multiple international
commitments. Given the closeness of the role, the candidate must be capable of
acting as a trusted extension of the employer in private matters and of
exercising sound judgment without supervision.
Essential
Skills and Experience
- Previous experience as a Personal Assistant, Executive Assistant,
Private PA or in a similar role.
- Experience supporting a senior executive, entrepreneur, investor, family
office principal, business owner or private individual.
- Strong diary management and meeting coordination experience.
- Experience arranging complex international travel.
- Experience handling personal expenses, bills and basic financial
administration.
- Excellent written and spoken English. Being bilingual English/Russian
would also be good, but is not mandatory.
- High attention to detail and accuracy.
- Strong proficiency with email, calendars, cloud-based document systems,
spreadsheets, video-conferencing platforms and standard office software.
- Ability to work independently in a fully remote environment.
- Flexibility to manage urgent matters and occasional requests outside
standard working hours.
- Sound judgment and the confidence to make well-reasoned auxiliary
decisions when the employer is unavailable.
- Absolute discretion when handling confidential, financial and personal
information.
Preferred
Experience
- Experience as a private PA to a UHNW individual, family office
principal, or sole principal.
- Experience working with hedge funds, investment firms, family offices or
private investment professionals.
- Experience supporting a Principal who divides time between the UK and
the UAE.
- Experience working directly for a sole principal or private employer.

The Personal Assistant will function as the employer’s ‘right hand’ in private matters and will coordinate closely with the Group Corporate Administrator, who handles the administration of the employer’s companies. The Personal Assistant will not act as a general secretary or administrative assistant for the employer’s wider companies, employees or external partners unless specifically instructed.
