Role Description This is a full-time hybrid role based in Canberra, with flexibility for some work from home. The Personal Assistant to the Managing Director will provide comprehensive executive and personal support, including managing calendars, coordinating meetings, and handling correspondence across multiple time zones. Day-to-day responsibilities include organising travel and accommodation, preparing documents, presentations, and reports, and ensuring the Managing Director is briefed and prepared for meetings and events. The role also involves maintaining confidential files, tracking key deadlines, liaising with internal and external stakeholders, and supporting ad hoc projects and administrative tasks as required. The successful candidate will help streamline the Managing Director’s workload, prioritise competing demands, and ensure efficient and professional operations.

Qualifications

  • Candidates should possess strong Executive Administrative Assistance and Personal Assistance skills, including experience supporting senior leadership.
  • Candidates should possess effective Diary Management and scheduling skills, with the ability to prioritise and coordinate complex calendars.
  • Candidates should possess excellent Communication skills, both written and verbal, and be confident engaging with internal and external stakeholders.
  • Candidates should possess solid Travel Arrangements skills, including organising domestic and international travel, accommodation, and itineraries.
  • Relevant experience in financial services or professional services environments is beneficial.
  • Strong organisational skills, attention to detail, and the ability to manage multiple tasks and deadlines are essential.
  • High level of discretion, integrity, and professionalism in handling confidential information.
  • Proficiency with productivity tools and office software (e.g., Microsoft 365, calendar and videoconferencing applications).
  • Certificate or diploma in business administration or a related field is advantageous, though equivalent experience will be considered.
