Role Overview
Join Job Duck as a Personal Injury Records Coordinator and play a key role in helping legal teams maintain organized, complete, and case-ready files. In this position, you will support case development by auditing files, obtaining critical records, gathering evidence, and ensuring documentation is accurate and accessible. Schedule:
Monday to Friday 9:00 AM - 6:00 PM [EST][EDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Supporting the legal team with administrative and case-related projects as needed
- Assisting with ongoing case preparation and file buildout activities
- Supporting attorneys and case managers by ensuring files contain the information needed for case evaluation and development
- Escalating delays, obstacles, or issues when necessary to keep cases progressing
- Documenting the status of records and evidence requests accurately
- Communicating with external agencies, records custodians, medical providers, and other stakeholders to obtain required records
- Obtaining and monitoring requests for investigative materials, including video evidence and body camera footage
- Coordinating requests for medical records, police reports, and other relevant documentation
- Tracking outstanding documentation requests and ensuring timely follow-up through completion
- Maintaining accurate, organized, and up-to-date electronic case files
- Identifying missing, incomplete, outdated, or inconsistent information and taking action to resolve gaps
- Reviewing and auditing case files to ensure all required documentation, evidence, and records are present and properly organized
- Taking ownership of assigned responsibilities and proactively driving tasks to completion
- Reviewing case information and identifying additional evidence or documentation that may strengthen the case
What We’re Looking For:
- Minimum of 1 year of experience as a Legal Assistant, Records Retriever, Records Manager, or Records Coordinator
- Personal Injury experience is required
- Excellent English and Spanish communication skills
- Strong attention to detail
- Strong organizational and time management skills
- Experience with case file auditing and review
- Experience with records retrieval and evidence collection
- Strong problem-solving and critical thinking skills
- Ability to identify gaps and inconsistencies in documentation
- Initiative and ownership mindset
- Strong follow-up skills and persistence
- Resourceful and proactive approach to assigned tasks
- Professional written and verbal communication skills
- Ability to handle confidential information with discretion
- Ability to work independently
- Adaptability in a fast-paced environment
