Hiltzik CPA is a US public accounting firm serving clients in real estate, cross-border and expatriate tax, Puerto Rico Act 60 compliance, and outsourced accounting. We are small, growing quickly, and we work with clients on four continents.
The work has outgrown the way we manage it. We are hiring the person who fixes that, and then builds the team around it.
ABOUT THE ROLE
You will own how work moves through the firm. Not the tax work itself, we have that covered. You own everything around it: who is doing what, what is due when, what is stuck, who we need to hire next, and how any of it gets done the same way twice.
Today most of that lives in the founder's head and inbox. Your job is to get it out of there and into systems that run without him.
This is a build role before it is a management role. For the first few months you will do the work yourself and document it as you go. Once the systems exist, you will hire and lead the people who run them, starting with tax preparers and bookkeepers, likely two to four people in the first year.
You will not need to know US tax. You will learn our engagement types well enough to route work correctly and speak credibly with a prospect. We will teach you that part.
WHAT YOU WILL OWN
• Workflow and routing. Every engagement has a status, an owner, and a due date, and you know all three at any moment.
• Capacity planning. Know each person's strengths and current load, forecast whether we can absorb the work coming in, and tell us when the answer is no.
• Systems building. Design and maintain our operational database in Airtable. Turn undocumented processes into written SOPs a new hire can follow.
• Deadline and compliance tracking. Filing deadlines, state annual reports, registrations, license renewals. Nothing lapses.
• New client intake. First point of contact for inbound inquiries, qualify and scope, engagement letters and onboarding.
• Client follow-through. Chase outstanding documents and signatures, persistently and pleasantly.
• Building the team. Write job descriptions, source, screen, hire, onboard, and supervise.
WHAT YOU NEED
• You build systems, you do not just run them. You have taken a messy process that lived in someone's head and turned it into something documented and repeatable. You can point to a specific example.
• Hands-on Airtable fluency. You have designed bases from scratch: tables, relationships, views, automations. Equivalent no-code database experience is fine, tell us what you built.
• Near-native written English. You will be writing to US clients as the voice of the firm. Your resume and application must be in English.
• You have managed people. At least two or three, including hiring and onboarding them.
• Follow-through as a personality trait. You are the person who notices the thing nobody replied to. Loose ends genuinely bother you.
• Comfort working a US Eastern Time day.
• Three or more years in operations, project management, or professional services coordination.
HELPFUL, NOT REQUIRED
• Experience supporting a US company remotely.
• Exposure to an accounting, legal, or consulting firm.
• Zapier or similar automation tools.
• Practice management software such as Canopy, Karbon, or TaxDome.
NOT REQUIRED
Tax knowledge. An accounting degree, CPA, or Contador Publico. Bookkeeping skills. We mean this. We are not looking for an accountant. We are looking for an operator.
DETAILS
• Remote, based in Argentina.
• Full-time, with most of your day overlapping 9:00 to 17:00 US Eastern.
• Independent contractor paid in USD through an employer-of-record platform.
• USD 2,500 to 3,500 per month depending on experience, with a review at six months tied to the team you build.
