Printed Marketing Materials Coordinator
Remote office administration | Marketing Materials | Part-time or full-time
Pay: £25.75–£28.00 per hour
Printed brochures and event materials may be stored in several places, while the people using them rely on an online record of what is available. This role maintains that record and helps route approved requests for materials. You would compare a reported count with the inventory tracker, note what was issued to a team and flag when stock looks low. You would not select a printer, place an unapproved purchase order or decide which marketing message should be printed.
What the record needs to answer
Which version of the brochure is current? How many copies were reported at a particular site? Has a batch already been allocated to an event? These are practical office administration questions. A colleague may email asking for forty copies of a leaflet; you would check the approved item name and the available count before recording the request. If the required quantity is not confirmed, you would send the question to the person responsible for stock or purchasing rather than promise a shipment.
The work can begin with a count supplied by a colleague at a storage site. You would enter the date, item and quantity in the assigned online tracker, then compare it with previous movements. A discrepancy may reflect materials issued but not yet recorded, a different version of the same design or a counting error. Keep the facts visible and ask the responsible person to investigate. The remote position does not require you to visit a warehouse or claim to have personally counted the physical boxes.
When an item is requested
Read the message carefully. An event team may need a particular design and language version, and an older leaflet may have the same general title. Check the approved catalogue and reference before entering the allocation. If the request is approved, record what has been assigned and who will arrange the physical delivery under the employer’s process. If a recipient later reports that fewer copies arrived, update the case and refer the discrepancy to the dispatch or inventory owner. A tracking number alone does not confirm the number inside a box.
Customer service habits help with internal requests. A clear acknowledgement tells the colleague whether their request has been recorded, is awaiting approval or has been passed to the team arranging delivery. Do not write “sent” when the allocation has only been entered in a spreadsheet. Another person should be able to see the distinction without reading a long email chain. The same care applies when stock reaches a threshold: flag the current count and the source of that count rather than guessing how much the team should reorder.
The employer will explain its item codes, version labels and approval route. Experience in a stockroom or marketing department is helpful but not required. You should be comfortable using an online spreadsheet, checking two similar descriptions and asking a focused question when the record conflicts with a colleague’s report. A home office with dependable access supports the remote tracking and written follow-up. You will not be asked to design the printed material or manage a physical warehouse.
You may also help prepare a simple list of requested materials for a scheduled campaign, marking which quantities are confirmed and which still need a physical check. That list supports a decision; it does not authorise distribution by itself.
Why this role matters
An outdated printed piece can confuse the people who receive it. If you notice that a requested version has been replaced, flag the issue to the content owner before an allocation is confirmed. You should not independently discard old stock or declare a document approved. Accurate records allow the marketing team to make those decisions with the right information. The hiring company will confirm whether the opening is full-time or part-time and explain the actual hours and pay arrangements. The hourly range is shown above.
Apply for the opening
Please describe how you would deal with a request for materials when the online count and a colleague’s report disagree. You do not need prior marketing employment. Inventory experience is also optional. A practical example of checking a list in another setting is useful.
For a selected candidate, the next step may include an application on the hiring company’s website. The team will provide directions if that applies. Training in the employer’s material codes and request process will be available.
