Job Title: Program Coordination Associate

Monthly Pay: $3,721 - $5,558 USD per month

Summary:

Using a project management tool such as monday.com, the Program Coordination Associate helps keep program activities, task owners, and milestones organized and visible. This entry-level role supports the program management team under the guidance of a program manager, helping colleagues understand next steps and identify delays early. The associate works with project coordinators, activity owners, and internal stakeholders to maintain clear updates across related projects. This fully remote, desk-based position offers work from home in Alabama, United States, supporting program delivery through accurate tracking and dependable administrative coordination. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Receive program requests through shared email and task queues, identify the requested activity, and route unclear requests to the program manager.
  • Check incoming requests for objectives, assigned owners, target dates, and dependencies before adding approved activities to the shared program tracker.
  • Maintain task details in a project management tool such as monday.com, recording approved changes without independently changing priorities or commitments.
  • Update milestone trackers using a spreadsheets and data entry tool such as Microsoft Excel, checking dates and progress against owner updates.
  • Arrange program check-ins through a scheduling and calendar tool such as Google Calendar, confirming attendance and sharing agendas prepared with the program manager.
  • Capture meeting decisions, action owners, and due dates, then distribute concise notes so participants understand their responsibilities and next steps.
  • Follow up with activity owners when updates are missing or deadlines approach, recording responses and highlighting unresolved dependencies for review.
  • Escalate competing requests, stalled activities, and potential milestone delays to the program manager with a clear summary of the available information.
  • Prepare routine progress summaries across related projects, reconcile conflicting updates with owners, and archive completed task materials in designated shared locations.
  • Support program evaluation and development by summarizing tracker accuracy, turnaround, complete notes, and documented follow-up, correcting discrepancies and recording improvement suggestions for the program manager.

Qualifications:

  • High school diploma or equivalent.
  • No experience required; related experience supporting programs, projects, or office coordination is preferred.
  • Basic understanding of program milestones, task dependencies, action ownership, and the difference between an update and an approved change.
  • Comfort learning shared task boards, spreadsheet trackers, and calendar tools through guided practice and established instructions.
  • Ability to compare updates across related projects, spot missing information, and ask focused questions without making unsupported assumptions.
  • Clear written and verbal communication for meeting notes, status summaries, follow-up messages, and respectful coordination with colleagues.
  • Ability to organize assigned work, protect internal information, and recognize when an issue needs the program manager's direction.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from home in Alabama, with desk-based responsibilities and digital collaboration throughout the program workflow.
  • Structured onboarding and training on a project management tool such as monday.com, a spreadsheets and data entry tool such as Microsoft Excel, and a scheduling and calendar tool such as Google Calendar.
  • Regular check-ins with the program manager as team lead to review priorities, answer questions, and discuss feedback.
  • Opportunities to build program coordination, progress monitoring, stakeholder engagement, and practical understanding of project governance through supervised assignments.
  • Health coverage, paid leave, a 401(k), maternity leave, and bonus opportunities.
