Job Title: Program Coordination Specialist

Monthly Pay: $3,721 - $5,558 USD per month

Summary:

Each shift begins with incoming program requests, participant questions, and task updates waiting for review. The Program Coordination Specialist supports the program management team under a program manager, keeping milestones, action items, and stakeholder updates organized so planned activities move forward. Working with project leads, internal contributors, and program participants, this specialist follows requests from initial review through confirmed completion. This fully remote position lets you work from home in Michigan, United States, with daily work centered on shared task boards, messages, and progress summaries. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Review incoming emails, shared request queues, and program messages at the start of each shift, sorting items by milestone, urgency, and assigned owner.
  • Check each request for a clear purpose, required inputs, target date, and responsible contact; ask the requester for missing details before arranging next steps.
  • Enter confirmed tasks and milestones into a project management tool such as Asana, keeping ownership, dependencies, target dates, and current status visible to contributors.
  • Compare progress updates with the program plan, identify approaching deadlines, and flag conflicting priorities or resource constraints for the program manager to review.
  • Arrange program check-ins, prepare agendas from outstanding actions, and confirm that participants have the background information needed to discuss decisions and dependencies.
  • Capture meeting decisions and assigned actions, then share concise updates through a collaboration tool such as Slack so contributors understand their next steps.
  • Follow up with task owners when updates are missing or deadlines approach, clarifying blockers without changing approved priorities or making commitments for other teams.
  • Escalate unresolved dependencies, repeated delays, and requests outside the agreed program scope to the program manager, including relevant context and possible next steps.
  • Prepare progress summaries showing completed milestones, open actions, emerging risks, and resource needs, checking details with contributors before distributing updates to stakeholders.
  • Confirm completion with the responsible owner, close finished tasks, and organize outstanding items for handoff; quality is judged through accuracy, turnaround, complete notes, and follow-up.

Qualifications:

  • High school diploma or equivalent.
  • About 1-2 years of experience in program coordination, project support, or related administrative work preferred, especially when tracking activities involving multiple contributors.
  • Understanding of program milestones, task dependencies, action logs, and escalation paths, with the ability to distinguish routine updates from issues requiring manager review.
  • Familiarity with shared task boards and workplace messaging, including the ability to learn the named systems and maintain consistent, useful status updates.
  • Ability to review dates, ownership, and completion details carefully, recognizing gaps before they create confusion for program participants or internal contributors.
  • Clear written and verbal communication for follow-up messages, meeting summaries, stakeholder updates, and respectful requests for clarification across different working relationships.
  • Reliable computer, high-speed internet, and quiet private workspace suitable for focused desk-based work and remote discussions.
  • Availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work supporting program activities from home.
  • Structured onboarding and training on Asana and Slack, including task updates, shared communication practices, and handoffs.
  • Regular check-ins with the team lead to review priorities, questions, and development needs.
  • Build program coordination, stakeholder engagement, progress reporting, and dependency tracking skills through practical daily work.
  • Health coverage, paid leave, a 401(k), bonus opportunities, and stipends.
