The SDSS Sustainability Accelerator (the Sustainability Accelerator) serves as a launchpad for sustainability solutions, turning innovative ideas into transformative and scalable technologies and policies that will substantially improve the quality of human life and our planet. The Sustainability Accelerator is rooted in the Stanford Doerr School of Sustainability and works across the University and with external partners to drive solutions from the lab into the world.

The Accelerator is seeking a full-time Program Coordinator to join our operations team and serve as the primary administrative and programmatic partner to four portfolios of faculty research projects (“Flagships”). The role supports two Managing Directors, each responsible for two Flagships, with time allocated roughly evenly between the two portfolios. The role is a member of the Accelerator Operations team, and works in close partnership with the Managing Directors to understand and support the day-to-day needs of their portfolios, while its manager provides overall supervision, workload prioritization, professional development, and coordination across the four Flagships. Success in this role comes from building close, proactive partnerships with the Flagship teams—keeping coordination moving, anticipating project needs, and making it easier for faculty, researchers, and Accelerator staff to do their work.

Administrative experience provides an important foundation, while curiosity, adaptability, and sound judgment will be equally important for success. The strongest candidate will be comfortable with shifting priorities and incomplete information, will look for opportunities to improve processes and reduce unnecessary manual work, and will pick up and apply new tools, including AI and automation tools, to problems that do not yet have a defined process. The research portfolios change as the science and the partnerships change, and the role changes with them.

What We’re Looking For:

Your Responsibilities will include:

  • Managing complex calendars with limited consultation; resolving scheduling conflicts; negotiating and managing the needs of individuals or groups requesting time with the Accelerator members, Stanford leadership, and faculty researchers; including running scheduling polls across large groups and time zones.

  • Support domestic and international business travel by providing policy guidance, coordinating complex logistics when needed, and processing associated travel reimbursements.

  • Serving as the primary administrative support contact for two Managing Directors and their four flagships of faculty research projects at the Accelerator.

  • Participate actively in Flagship team meetings: build agendas with Flagship leads, capture decisions and owners, track next steps, and facilitate timely follow-through.

The expected pay range for this position is $83,404 to $97,850 per annum.

Core Duties:

  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.

  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.

  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports. Perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.

  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

  • Create complex reports and spreadsheets which may utilize specialized software and systems.

  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.

  • Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.

  • May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

Minimum Education and Experience

High school diploma and four years of administrative experience, or combination of education and relevant experience.
