Role purpose

We buy established IT managed services businesses and bring them into the Owlis group. Every time a company joins, the same two pieces of work run: onboarding it across every function, and moving it onto our core group systems. This role plans and runs both, at every company that joins.

Success is not one go-live. It is an onboarding and rollout that gets faster, cleaner and better documented each time we run it. The playbook is still being built, so the first company will be hard work; the tenth should be routine because of what this role writes down along the way.

Working pattern and core systems

Monday to Friday, 9am to 6pm. Remote and UK-based, with travel to group company sites, typically a few days a month and more around a go-live, including occasional overnight stays. Occasional work outside normal hours around a cutover weekend, agreed in advance. No on-call rota.

Key responsibilities

Plan and run each onboarding

  • Set up the onboarding tracker for each new company from the group template (around 200 tasks)
  • Confirm with each function which tasks apply, which don't, and why
  • Sequence the work by phase: pre-close, completion, day one, week one, 30, 60 and 90 days, then the rest of year one
  • Name an Owlis owner and a local owner against every task, with a deadline
  • Keep a RAID log (risks, assumptions, issues and decisions) current as things happen
  • Run a weekly check-in with each function lead and keep a short written record

Keep it moving and report

  • Chase owners for updates, documents and decisions, politely and without letting anything drift
  • Escalate blockers early, with a recommendation rather than just a problem
  • Collect and file the evidence behind each task: policies, contracts, registers, certificates and confirmations
  • Produce a weekly progress report and a monthly summary for the leadership team
  • Confirm completion with evidence, then hand each function to business as usual with named owners

Plan and deliver each system rollout

  • Document how the company runs each process today, confirmed by the people who do the work
  • Record every gap against the group standard, with an option for closing it and a decision owner
  • Turn agreed requirements into written configuration decisions; group templates first
  • Coordinate data extraction, cleansing and mapping, and reconcile loaded data with finance
  • Write test scripts, coordinate user testing and run the defect log to retest and sign-off
  • Own go-live readiness: go/no-go criteria, cutover runbook, rollback plan and comms
  • Arrange role-based training and support the first weeks after go-live on site
  • Write up what we learned and update the playbook for the next company

What you'll need

  • Experience planning and running a project with several workstreams through to go-live or completion
  • A track record of keeping a project plan current, with a named owner and deadline against every task
  • Experience delivering or supporting a business system implementation through user testing and go-live
  • Hands-on use of test scripts, a defect log and a cutover plan
  • The ability to map how a business process runs today and record the gaps against a target standard
  • Confidence getting updates and decisions from people who don't report to you, and escalating early with a recommendation
  • Clear written plans, status reports and risk logs that other people can follow without you in the room

It would help if you have

  • Experience in an IT managed services provider, or a good understanding of how one runs
  • Used Employment Hero, HaloPSA, Sage Intacct or HubSpot
  • Hands-on data migration: extracting, cleansing, mapping, loading and reconciling data
  • Exposure to finance processes such as month-end, nominal mapping and reconciliation
  • Supported a business through a merger, acquisition or change of ownership
  • A project or business analysis qualification, such as PRINCE2, APM, Agile PM or BCS

Good to know

  • Right to work in the UK (Owlis does not sponsor visas)
  • Able to travel to group company sites across the UK, including occasional overnight stays around a go-live
  • Occasional work outside normal hours
