Role Overview: We're looking for a detail-oriented, highly organized Recruiting Coordinator to join our People Operations team. This role is central to the candidate and interviewer experience at Aalyria. You'll own end-to-end interview scheduling and coordination across all of our functions, and you'll serve as a key point of contact for the external staffing and contingent search agencies we partner with. You'll work closely with our recruiters and hiring managers to keep a high-volume, high-stakes requisition pipeline moving smoothly and professionally. Key Responsibilities: Own interview scheduling end-to-end across all open requisitions, such as coordinating complex, multi-panel interview loops across time zones, calendars, and competing stakeholder availability. Partner daily with recruiters and hiring managers to confirm interview panels, prepare interview kits, and ensure interviewers have the context and materials they need ahead of each conversation. Serve as the primary point of contact for candidates once they enter the interview process, communicating logistics clearly and promptly to create a professional, welcoming experience. Manage relationships with our external staffing and search agencies, including coordinating candidate submissions, interview logistics, status updates, and fee/terms tracking in partnership with the Head of People Operations. Maintain accurate, up-to-date candidate and requisition records in our applicant tracking system (Rippling ATS) and centralized recruiting tracker. Troubleshoot scheduling conflicts and last-minute changes quickly, keeping candidates, interviewers, and recruiters aligned. Support onboarding of new interviewers to scheduling tools, interview logistics norms, and the "Interviewing at Aalyria" guide, including shadowing coordination. Track and report on scheduling metrics (time-to-schedule, interview volume, no-show/reschedule rates) to help the team identify process bottlenecks. Assist with special recruiting projects as needed, such as career fairs, referral program logistics, and process improvement initiatives. Required Qualifications: 3+ years of experience in recruiting coordination, HR coordination, executive/administrative support, or a similarly detail-driven operational role. Exceptional organizational skills and an ability to juggle a high volume of moving parts without dropping details. Strong written and verbal communication skills; comfortable representing Aalyria professionally to candidates, interviewers, and external agency partners. Proficiency with calendar tools (Google Calendar) and comfort learning ATS platforms (Rippling experience a plus) and scheduling tools. A proactive, solutions-oriented mindset where you anticipate problems before they become fire drills. Discretion and sound judgment when handling confidential candidate and business information. Experience supporting technical or engineering recruiting a plus. Prior experience managing or coordinating with external staffing/search agencies a plus. Given the nature of our work, candidates must be able to comply with U.S. government contract requirements, including, if applicable, U.S. Person status for access to certain export-controlled information. Preferred Qualifications: Bachelor's degree, or equivalent practical experience. Prior experience recruiting or coordinating within a startup or fast-scaling company environment. Experience supporting technical, engineering, or defense-sector recruiting. Familiarity with cleared or ITAR-sensitive hiring processes (e.g., NISPOM, DCSA, security clearance timelines). Prior experience managing or coordinating with external staffing/search agencies. Hands-on experience with Rippling or a comparable ATS. Experience supporting global or multi-region hiring (U.S., U.K., Canada). A background or interest in aerospace, defense, or deep-tech industries.
