About Sydney Windows & Doors
Sydney Windows & Doors is a growing Australian company specialising in aluminium windows and doors for custom homes and residential construction projects across Sydney.
We manage the complete customer journey, including initial consultation, estimating, quotation, design review, procurement, delivery, installation and after-sales service.
We are looking for a capable Sales Estimator & Client Coordinator based in Malaysia who can manage standard customer enquiries, prepare accurate quotations and communicate confidently with Australian clients.
- Main Purpose of the Role
This position combines estimating, customer communication and quotation coordination.
You will communicate directly with customers to understand their requirements, review their drawings, identify missing information, prepare quotations, explain the proposed scope and follow up routine enquiries.
The objective is to provide customers with a professional and responsive experience while allowing our senior sales team to focus on key negotiations, major clients and closing projects.
This is not a cold-calling position and is not purely an administrative role.
Key Responsibilities
Customer communication
- Respond professionally to new customer enquiries
- Arrange telephone or video consultations with customers
- Understand the customer’s project, priorities, budget and expected timeline
- Discuss window and door styles, opening methods, colours, glass, hardware, screens and installation requirements
- Review architectural drawings and window schedules with customers
- Identify missing information and request clarification
- Explain the quotation scope, assumptions, exclusions and available options
- Present standard quotations to customers
- Complete routine quotation follow-ups by telephone and email
- Record customer discussions and next actions in Odoo
- Keep customers updated during the quotation process
- Escalate important commercial negotiations to the Sales Director
Estimating and quotations
- Review architectural drawings, window schedules and specifications
- Complete window and door quantity take-offs
- Identify window types, dimensions, configurations, glass, hardware, screens and finishes
- Select suitable products from the company’s approved window and door systems
- Calculate product, glass, hardware, freight, installation and other project costs
- Prepare clear and professional customer quotations
- Prepare quotation revisions and optional pricing
- Check expected gross margin before releasing a quotation
- Request and compare supplier pricing where required
- Clearly record assumptions, exclusions and missing information
- Maintain quotation versions and variation records
- Prepare accepted projects for handover to the design and operations teams
Required Experience and Skills:
Applicants should have:
- At least three years of experience in estimating, technical sales, project coordination or customer quotation work
- Experience working in windows, doors, glazing, façades, aluminium products, joinery, architectural products or another custom construction industry
- Strong spoken and written English
- Confidence communicating directly with Australian customers by phone, email and video meeting
- Ability to read architectural drawings and schedules
- Experience preparing take-offs, cost estimates and customer quotations
- Strong Microsoft Excel skills
- Good commercial judgement and attention to detail
- Ability to manage several quotations and follow-ups simultaneously
- Ability to ask clear questions when project information is incomplete
- A reliable computer, internet connection and professional remote working environment
- Availability to maintain sufficient overlap with Sydney business hours
Working Arrangements
- Full-time remote position based in Malaysia
- Initial eight-week paid trial period
- Working schedule must provide at least six hours of overlap with Sydney business hours
