This position is a high-level Board governance and coordination role with a respected peak body.
Our client is a well-established professional membership and peak body, representing more than 18,000 members across Australia. The organisation plays an important role in professional standards, education, advocacy, member services and engagement, with a strong focus on supporting its profession and contributing to matters of significance.
An opportunity is now available for an experienced and highly organised Board Coordinator to provide high-level governance, project coordination and secretariat support to the Board, its Committees and Branch Management Committees.
The Role
Reporting to the Board Chairperson and President, the Board Coordinator will work closely with the Company Secretary, Board Directors, Branch Presidents, CEO, Executive Team and other key stakeholders.
This is a diverse and highly visible position requiring exceptional organisation, discretion and attention to detail. You will coordinate Board and Committee governance activities while supporting member engagement initiatives and strategic projects sponsored by the Board.
Importantly, this is more than a traditional administrative position. You will be a key point of coordination between the Board, President, Branch Management Committees, members and the broader organisation.
Key Responsibilities
You will be responsible for:
- Providing high-level administrative, secretariat and governance support to the Board, Company Secretary and Board sub-committees.
- Coordinating annual Board and Committee calendars, meeting schedules, work plans and governance deadlines.
- Coordinating the preparation and distribution of Board and Committee papers, agendas, reports and supporting documentation.
- Attending Board and Committee meetings, preparing accurate minutes, recording decisions and actions, and proactively following up outstanding items.
- Supporting the appointment, onboarding and induction of Board Directors and Independent Committee Members.
- Coordinating governance activities including the Annual Report, Annual General Meeting, elections, Board appointments and other governance processes and events.
- Maintaining Branch Management Committee membership registers and supporting Branch meetings, appointments and governance requirements.
- Coordinating regular meetings and communication between the President and Branch Presidents.
- Managing invitations, public events, briefings and logistical requirements involving the President and other Directors.
- Providing administrative and project support to Board-sponsored programs, working groups and strategic initiatives.
- Maintaining key governance information, including Board dashboards, risk registers and associated records.
- Identifying opportunities to improve and streamline governance systems, processes and workflows.
- Providing professional support and guidance to members engaging with the Board and its governance structures.
About You
You will be an accomplished governance, Board or executive support professional who is confident working with senior stakeholders and managing multiple priorities within a deadline-driven environment.
To be successful, you will demonstrate:
- Previous experience in Board support, governance coordination, executive support or a similar senior administrative position.
- Exceptional attention to detail and highly developed planning, project management, organisational and time-management skills.
- The ability to manage competing priorities, work flexibly and deliver against critical deadlines.
- Highly developed written and verbal communication skills.
- Experience preparing professional Board and Committee documentation, including agendas, papers, calendars, minutes and action registers.
- Sound judgement and the ability to manage confidential and sensitive information with discretion.
- A proactive approach and demonstrated ability to improve systems, processes and workflows.
- Strong interpersonal skills and the ability to build effective working relationships with Board Directors, executives, members and other senior stakeholders.
- Advanced proficiency across Microsoft Office, including Outlook, Word, Excel and PowerPoint.
A relevant tertiary qualification and/or training in governance, business administration or company secretarial practice will be highly regarded.
Previous experience within a professional association, membership organisation or peak body would also be advantageous.
