Dispo Depot is seeking an experienced and highly detail oriented Senior Intake Specialist to support complex legal filing and intake operations. This position is responsible for
accuracy and sensitive filing activities including electronic and manual court filings, amendments, filing issue resolution, and quality review.
The Senior Intake Specialist will also serve as a senior resource within the Intake team, providing first level troubleshooting for filing and service-related issues and supporting the implementation of processes as the company expands into new jurisdictions.
Key Responsibilities
- Prepare, review, and submit electronic and manual court filings, including high volume filing batches, with a strong focus on accuracy and completeness.
- Prepare amendments and other required legal filing documentation in accordance with applicable requirements.
- Review rejected or unsuccessful filings, identify required corrections, coordinate resolution, and ensure appropriate follow through.
- Research filing and procedural requirements for new jurisdictions and assist with testing and implementing new filing processes.
- Serve as the first level of operational support for filing, service, vendor, and time sensitive issues, escalating matters requiring management oversight when appropriate.
- Monitor filing and service activity to identify delays, discrepancies, or issues requiring follow up.
- Support service documentation, demand letters, court related correspondence, and other Intake functions as needed.
- Maintain accurate records and tracking related to filing and Intake activity.
- Identify recurring issues, trends, and opportunities for process improvement and communicate findings to management.
- Collaborate with internal teams and external partners to support timely and accurate case progression.
Qualifications
- Previous experience preparing, reviewing, or filing legal documents required.
- Experience with court filings, dispossessory warrants, eviction matters, landlord tenant matters, or a similar legal environment strongly preferred.
- Paralegal degree or related legal studies degree strongly preferred. Relevant professional experience may be considered.
- Strong knowledge of legal terminology and ability to interpret court forms and procedural requirements.
- Exceptional attention to detail and demonstrated ability to manage accuracy sensitive work.
- Strong research, critical thinking, troubleshooting, and independent problem-solving skills.
- Ability to manage multiple priorities and deadlines in a high-volume environment.
- Strong written and verbal communication skills.
- Proficiency with technology and ability to learn multiple court and case management systems.
