Senior People Operations Coordinator
This role is Hybrid, Costa RicaRole Overview
The Senior People Operations Coordinator plays a key role in the execution and continuous improvement of global People Operations. This role is responsible for coordinating audits and compliance activities, operational documentation, vendor and RFP management, background checks, reporting, and process governance.
Working closely with the People Service Center, People Advisory, People Technology, Legal, Finance, and other stakeholders, the Senior People Operations Coordinator ensures HR processes are executed accurately, consistently, and in compliance with applicable policies and requirements across regions. The role translates policies and requirements into clear procedures, workflows, controls, and documentation, while identifying opportunities to streamline, standardize, and automate processes. The Senior People Operations Coordinator manages multiple priorities and cross-functional projects and leverages data, technology, and automation to improve the overall effectiveness of People Operations.
Key Responsibilities
HR Operations, Audits & Compliance
- Coordinate internal HR audits, including evidence collection, stakeholder follow-up, and remediation tracking.
- Review HR processes, records, and system data to identify compliance gaps, inconsistencies, and operational risks.
- Support adherence to HR policies, internal controls, regulatory requirements, and regional requirements.
- Maintain audit-ready procedures, controls, and supporting documentation.
Process Improvement & Operational Governance
- Coordinate improvements to HR operational processes to increase efficiency, accuracy, compliance, and scalability.
- Map and document workflows using Lucidchart or equivalent tools, translating policies and requirements into practical procedures, SOPs, and controls.
- Identify process gaps and bottlenecks and partner with stakeholders to implement sustainable solutions.
- Maintain process ownership and documentation standards.
Background Checks, RFPs & Vendor Management
- Coordinate global background check processes, including vendor issue resolution, turnaround times, outstanding requirements, and compliance documentation.
- Coordinate HR-related RFPs with Procurement, Legal, Finance, and HR, managing requirements, timelines, stakeholder input, documentation, and vendor communications.
- Support ongoing vendor management through performance tracking, service reviews, and issue resolution.
- Identify and coordinate improvements to vendor processes and service quality.
HR Service Delivery & Systems
- Manage and resolve HR tickets in service delivery and workflow platforms, such as ServiceNow HR Service Delivery, Salesforce, or similar systems, ensuring timely and accurate responses and appropriate escalation when needed.
- Help optimize HR case management, approval workflows, knowledge base processes, reporting, and automation in partnership with People Technology and other stakeholders.
- Ensure data integrity within HR systems through regular audits, reviews, and issue follow-up.
- Drive continuous improvement of HR workflows and system-enabled processes to strengthen the employee service experience.
Knowledge Management & HR Enablement
- Develop and maintain accurate, actionable HR knowledge content, SOPs, process guides, checklists, and training materials.
- Partner with HR teams to communicate process updates and provide guidance on workflows, documentation, and system use.
- Review and update operational materials as policies, processes, systems, and requirements change.
Project & Change Management
- Coordinate HR operational projects and implementations, tracking timelines, deliverables, dependencies, action items, and stakeholder input.
- Support adoption of new programs, processes, vendors, systems, and regulatory requirements through communications, documentation, training, and stakeholder coordination.
Required Qualifications
- Bachelor’s degree or equivalent experience.
- 4+ years of experience in HR operations, shared services, HR compliance, HR program management, HRIS, or a related operational role.
- Experience coordinating HR programs and operational activities, including audits, compliance reviews, controls, background checks, vendor management, RFPs, or procurement processes.
- Demonstrated ability to design, document, and improve HR processes, workflows, SOPs, knowledge content, and training materials.
- Strong analytical and problem-solving skills, with experience in data reviews, reconciliations, reporting, audits, or quality-control checks.
- Advanced Excel skills, including pivot tables, formulas, data analysis, and reporting; experience with dashboards or macros is a plus.
- Practical experience with an HR service delivery or workflow platform, such as ServiceNow HR Service Delivery or Salesforce, including case management, workflow automation, knowledge base processes, and reporting, is highly valued.
- Strong organization, attention to detail, communication, and cross-functional collaboration skills, with the ability to independently manage multiple priorities and deadlines.
- Ability to handle sensitive HR information with discretion and work effectively in a global environment while balancing global standards with regional requirements.
- Interest in using automation, AI, and technology-enabled solutions to improve HR operations and adapt to evolving business needs.
