Salary Range: $83,593.00 To $101,505.00 Annually The American Academy of Dermatology is seeking a Senior Specialist, Production located in our Rosemont, IL. office responsible for leading new and ongoing marketing communications requests. Lead the Integrated Communications project starter intake process and administrate the Monday.com project management boards for the IC Division. Lead production/traffic meetings and maintain job database for assigned projects and schedules to review project status and upcoming milestones. Coordinate, organize and implement a production work schedule for processing requests against project timelines and deliverables for creative services projects. Problem solve issues that would delay completion or quality of a project and works diligently to mitigate factors that affect project success, ensuring delivery of a campaign on time, at (or below) budget, and meeting quality standards. Recommend strategic goals related to these functions and assist the Senior Manager, Production in establishing procedures and budgets. Update and maintain current information in the creative services job database, provide traffic status reports for regular distribution to production and creative staff, and at IC Division traffic meetings. Communicate job schedules and provide job status updates to clients as needed. Suggest and implement periodic enhancements to the system. Provide consultation and assistance during project development, choosing appropriate vendors; conducts cost analysis and timeline impacts for specified projects, act as a resource regarding appropriate printing and production methods to meet print needs within budgeted goals; coordinate competitive quotes and prices, printing and production requirements with outside vendors as necessary. Serve as lead of Integrated Communications division’s project intake process and act as liaison with project and MarComm teams and assists in managing project schedules, resources, and any related factors that affect project success to ensure delivery of campaigns. Serve as administrator of IC Division’s project management platform “Monday.com” and maintain its database. Provide software training for current and new staff members within the IC Division and other client departments as needed. Obtain mailing services and postal rate quotations. Procure mailing services for the Academy. Serve as in-house resource on postal and fax regulations, and work with creative staff to ensure that mailing projects meet or exceed postal requirements. Act as contact for mail house vendors. Ensure that vendors follow established procedures; write mailing specifications; communicate directly with mail facility/fulfillment vendors. Provide quality assurance checks of mailing instructions and processed mailings. Work with the Senior Manager, Production to investigate and qualify new vendors, research technologies and capabilities to support the Academy’s current and future production and mailing needs. Recommend new techniques, technologies, and procedures. Provide support for vendor qualification. Verify invoices against project quotations; contact vendor when discrepancies arise; forward to client for budget assignment and payment processing. Serve as lead for fax broadcast support. Assist in the oversight of the supply requisition process for AAD/A Business Cards, Stationery and Letterhead through the AAD/LCP ordering website. Oversee virtual filling system maintenance and organization, as well as maintenance of some project boards in Monday.com. Assist Senior Manager and Director with recommending and determining appropriate strategic goals that relate to areas of responsibility within the creative section and the department mission. Develop and implement procedures to fulfill these goals. Assist in developing production budgets organization wide. Requirements: Bachelor’s degree or equivalent experience. Minimum 4 years’ experience with purchasing, print production trafficking or business operations. Collaboration – Establishes and maintains effective work relationships, works cooperatively in group situations. Offers assistance and support to coworkers. Communication – Apply effective verbal, nonverbal, and written communication methods to achieve desired results. Understand there are various methods through which communication is achieved and the barriers to effective communication. Ability to provide effective, organized presentations to large groups of individuals, and assist with member presentations. Team Player – Able to work effectively with varied people to facilitate the completion of the work by established deadlines. Problem Solving – Identify and define problems; Able to choose the correct course of action based on operating procedures, drawing on prior experiences with analysis of issue or present possible solutions for approval. Business Knowledge – Awareness of business functions and how business decisions affect financial and non-financial work results, specialized knowledge of projects and campaigns. Technical skills - MS office (outlook word, excel, PowerPoint) required, and email marketing platforms, preferred. Ability to receive feedback and engage in continuous self-learning.
