Keep inventory moving and every order on track. We're looking for an organised, proactive, and detail-driven Supply Chain Coordinator with hands-on NetSuite experience to manage inventory records, purchase orders, order fulfilment, and logistics coordination. If you're confident navigating ERP systems, maintaining accurate inventory data, and coordinating with suppliers and warehouse teams, this could be a great fit.

Work Setup: Fully Remote (US Shift). Onsite schedules upon client request.

Role Overview

As our Supply Chain Coordinator, you'll support day-to-day supply chain operations across inventory management, procurement, order processing, and freight logistics. You'll take ownership of maintaining accurate records in NetSuite, coordinating with third-party logistics (3PL) providers, and ensuring smooth order and shipment fulfilment.

Key Responsibilities

NetSuite Administration & Inventory Management

  • Maintain Inventory Records: Keep NetSuite updated with accurate inventory, purchase orders, sales orders, and product records.

  • Manage Inventory Transactions: Process stock adjustments, inventory receipts, and assembly completions in NetSuite.

  • Reconcile Inventory: Regularly compare inventory records across NetSuite, Shopify, and 3PL warehouse systems, identifying and resolving discrepancies.

  • Track Product Details: Maintain SKU, UPC, and part number records, including batch/lot numbers, shelf life, and expiration dates.

Procurement & Vendor Coordination

  • Manage Purchase Orders: Create and issue POs in NetSuite based on reorder points and management instructions.

  • Monitor Supplier Updates: Record vendor confirmations, lead times, and estimated delivery dates.

  • Verify Purchasing Records: Match purchase orders against receiving documents and vendor invoices, flagging discrepancies for review.

  • Maintain Production Records: Track manufacturing dates, quantities, batch/lot numbers, and certificates of analysis (COAs).

3PL & Freight Logistics

  • Coordinate Warehouse Operations: Work closely with 3PL teams to ensure accurate inventory receipts, order updates, and shipment records.

  • Manage Freight Bookings: Arrange routine freight shipments, track deliveries, and maintain shipment logs.

  • Support Marketplace Shipments: Coordinate inbound shipments to online marketplaces as required.

  • Maintain Shipping Documentation: Organise bills of lading, packing slips, and proof of delivery records.

  • Handle Delivery Issues: Document and raise claims for damaged, missing, or incorrectly delivered goods.

Skills & Experience

  • Critical: At least 1 year of hands-on, daily NetSuite ERP experience, particularly in creating and managing purchase orders, sales orders, inventory adjustments, and item records.

  • Highly Desirable: Previous supply chain, logistics, or order management experience within the consumer goods, beauty, hair care, or e-commerce industry.

  • Systems Experience: Familiarity with Shopify, 3PL/WMS platforms, and Microsoft Excel or Google Sheets, including VLOOKUPs, filters, and basic formulas.

  • Operational Strengths: Strong attention to detail, organisation, prioritisation, and the ability to manage multiple tasks and deadlines.

  • Communication: Clear written and verbal communication skills, with confidence coordinating with suppliers, warehouse teams, and internal stakeholders.

  • Working Style: Proactive, dependable, and execution-driven, with the ability to work independently in a remote setup and consistently follow through on deliverables.
