Position Overview:

The Travel & Expense Systems Administrator is responsible for managing and optimizing MN8 Energy’s travel and expense platform (Navan), ensuring a seamless employee experience while maintaining strong financial controls and policy compliance. This role drives spend visibility, enforces T&E policy, and partners cross-functionally with Finance, IT, and business leaders to improve operational efficiency and cost performance. The position plays a key role in vendor strategy, analytics, and platform governance.

As the Travel & Expense Systems Administrator, you will:

· Serve as the first point of contact for Navan-related support, troubleshooting employee and manager inquiries.

· Manage the centralized support channel and ensure timely resolution of issues across stakeholders.

· Own monthly global T&E spend analysis, identifying trends, risks, and opportunities for cost savings.

· Monitor and enforce T&E policy compliance, flagging exceptions and ensuring appropriate follow-through.

· Lead recurring feedback loops with employees and managers regarding missing receipts, reimbursements, and policy adherence.

· Evaluate platform performance and recommend enhancements to improve user experience and operational efficiency.

· Partner with IT to ensure system configuration aligns with policy requirements and organizational controls.

· Collaborate with Accounting to ensure accurate GL coding and financial reporting alignment.

· Maintain strict confidentiality and discretion when accessing, reviewing, analyzing, and reporting sensitive T&E, financial, and employee-related data

· Oversee corporate card program administration, including change requests for limits and vendor/category controls.

· Drive strategic vendor management initiatives, including sourcing, negotiating, and optimizing travel partnerships.

· Identify opportunities to reduce overall T&E spend through benchmarking and continuous improvement initiatives.

Our ideal candidate will have:

· Bachelor’s degree in Finance, Business Administration, or related field (or equivalent experience).

· 2+ years of experience in travel and expense management, finance operations, or related function.

· Strong analytical skills with experience in spend analysis and reporting.

· Proven ability to manage enterprise platforms (Navan or similar T&E systems preferred).

· Excellent communication skills with the ability to work cross-functionally.

· Proficiency with financial systems and data tools (e.g., Excel, ERP systems).

Preferred Qualifications

· Experience in a high-growth or matrixed organization.

· Familiarity with corporate card programs and expense policy governance.

· Experience negotiating with travel vendors or managing vendor relationships.
