The Role
We are seeking a proactive Travel Assistant / Itinerary Assistant / Travel Documentation Assistant to support travel planning, itinerary preparation, documentation, reservation coordination, and travel administration. You will assist with organizing trip information, preparing travel schedules, maintaining travel documents, coordinating bookings, and ensuring travel details remain accurate and up to date.
This part-time, fully remote opportunity offers flexible working hours and exposure to travel planning, itinerary management, reservations, travel documentation, destination research, and digital travel platforms.
Key Responsibilities
- Assist with day-to-day travel administration and trip coordination.
- Organize travel information including destinations, dates, transportation, accommodation, activities, and schedules.
- Prepare and update detailed travel itineraries based on established requirements.
- Assist with coordinating flights, accommodation, transportation, tours, activities, and other travel arrangements.
- Maintain accurate records of bookings, confirmation numbers, travel dates, passenger details, schedules, and reservation information.
- Prepare and organize travel documents, booking confirmations, vouchers, tickets, schedules, and supporting information.
- Verify traveler names, dates, destinations, booking references, travel schedules, and documentation requirements.
- Monitor upcoming trips, booking confirmations, itinerary changes, cancellations, and outstanding travel requirements.
- Follow up with travel providers, hotels, transportation companies, tour operators, and other suppliers regarding bookings and travel arrangements.
- Assist with changes to travel schedules, reservations, itineraries, and transportation arrangements where required.
- Conduct basic destination, transportation, accommodation, activity, and travel information research.
- Compare available travel options, schedules, routes, accommodation details, and activity information based on established requirements.
- Update travel management platforms, reservation systems, CRM systems, spreadsheets, databases, and internal trackers.
- Maintain organized digital files containing itineraries, booking confirmations, travel documents, supplier information, and correspondence.
- Assist with preparing trip summaries, travel schedules, itinerary documents, booking trackers, and routine travel reports.
- Monitor travel deadlines, booking cut-off dates, check-in requirements, document submissions, cancellation periods, and other important travel milestones.
- Assist with identifying discrepancies in traveler information, booking details, schedules, documentation, and itinerary information.
- Coordinate with internal teams and external travel providers to ensure trip information remains accurate and complete.
- Assist with preparing travel information for management, clients, partners, or travelers where required.
- Maintain confidentiality when handling personal travel information, booking details, identification documents, and business information.
- Identify opportunities to improve itinerary preparation, travel documentation, booking coordination, information accuracy, and travel administration workflows.
Requirements
- Bachelor's degree or equivalent qualification in Travel & Tourism, Hospitality, Business Administration, Tourism Management, or a related field is preferred.
- Minimum of 3+ years of professional experience in travel administration, tourism, reservations, itinerary coordination, hospitality, or a related function is preferred.
- Understanding of basic travel planning, itinerary preparation, reservations, travel documentation, transportation, and accommodation arrangements.
- Familiarity with travel booking platforms, reservation systems, GDS, CRM tools, Microsoft Office, Google Workspace, spreadsheets, and digital collaboration tools.
- Excellent attention to detail when handling traveler names, dates, destinations, booking references, schedules, and travel documents.
- Strong organizational and time-management skills with the ability to manage multiple trips, bookings, itineraries, and deadlines.
- Strong written and verbal communication skills with the ability to present travel information clearly and professionally.
- Good research and information-management skills with the ability to compare and organize travel options.
- Strong data-entry and documentation skills with a high level of accuracy.
- Good coordination and follow-up skills when working with travel suppliers and internal teams.
- Good problem-solving skills with the ability to identify routine booking, itinerary, and documentation discrepancies.
- Strong digital literacy and ability to learn new travel platforms and reservation systems quickly.
- Ability to handle confidential traveler and booking information professionally and responsibly.
- Reliable, proactive, organized, responsive, and comfortable working independently in a remote environment.
