We’re placing a Trust Accounts Assistant for an established Sydney property and strata management firm. Working fully remote from the Philippines, you’ll run the receipting side of a live Australian trust account — receipting rent and payments into the correct tenant, property and owner ledgers, reconciling daily bank deposits, chasing unidentified payments, and preparing owner disbursements and statements for the trust accountant to approve.
This is trust accounting, not general bookkeeping. The money belongs to owners and tenants, the ledgers are audited, and every receipt has to land in the right place. You’ll prepare and submit — the trust accountant approves and releases — so you’re working inside a proper control structure rather than carrying the sign-off yourself.
You’ll build real Australian trust accounting depth — daily reconciliation, owner disbursements and statements, month-end trust reconciliations, EFT and BPAY — which is a far scarcer specialism than general AR and opens doors that standard bookkeeping doesn’t. You’ll be supported by a finance team that already runs this process well, with training and real answers when a ledger doesn’t balance.
What you’ll be doing
• Receipt incoming rent and other payments into trust ledgers, matched to the correct tenant, property and ledger
• Reconcile daily bank deposits against receipts, and follow up unidentified or unallocated payments
• Prepare owner disbursements and statements for the trust accountant’s approval
• Process tenant refunds, such as overpayments, for the trust accountant’s approval
• Answer property and strata manager enquiries on ledger balances, receipts and payments
• Support month-end trust reconciliations
Requirements
• At least 2 years in accounts receivable, receipting or trust accounting
• Experience supporting Australian or New Zealand businesses in a finance or accounts role
• Hands-on experience receipting payments and allocating them to individual client, tenant or owner ledgers
• Experience using property management, strata or trust accounting software — not general accounting software alone
• A working understanding of trust accounting: the funds belong to owners and tenants, not the business, and every ledger has to balance
• Accurate allocation of every receipt and disbursement — this is the job
• Clear written English for daily correspondence with property and strata managers
• Available Monday to Friday, 6:00 AM – 3:00 PM PHT
• Reliable home internet and a dedicated workspace
Nice to have
• Hands-on experience with Re-Leased
• Background in Australian real estate or strata trust accounting
• Experience preparing owner disbursements and statements
• Familiarity with Australian EFT and BPAY payments
• Experience with strata ledgers, or strata software such as StrataMax or Strata Master
