The Impact you will have in this role:
This position is responsible for supervising the day-to-day facility operations, furniture, fixture and equipment (FFE) repairs and maintenance in the designated office and the role incumbent is expected to be physically present in the office 5 days per week other than whilst on leave. This position is also responsible for supervision of outsourced facility operations staff.
Your Primary Responsibilities:
- Assist with the coordination of cleaning staff, maintenance staff, and repair vendors, including assignment, tracking, and follow-up of work orders. Support work order quality control and help ensure maintenance activities align with DTCC standards.
- Support purchase order creation, invoice processing, spend tracking, and monthly site performance reporting. Assist with maintenance RFP scope development and vendor documentation as needed.
- Support day-to-day facilities operations for a large corporate office environment, including work order coordination, office relocations, vendor engagement, and employee workplace support.
- Support energy and environmental management activities, including compliance tracking, reporting, audits, training coordination, and continuous improvement initiatives.
- Coordinate daily facility operations and respond to employee and workplace service requests.
- Receive, review, prioritize, assign, monitor, and follow up on facility requests through approved intake channels.
- Coordinate with internal teams and external service providers to resolve maintenance, janitorial, furniture, temperature, plumbing, electrical, lighting, access, and general building-related concerns.
- Support internal and external workplace events through room setup, furniture arrangements, vendor coordination, and related workplace services.
- Maintain consistent customer communication, provide status updates, and confirm service completion.
- Escalate life-safety concerns, major outages, recurring failures, missed service levels, and operational risks to management.
- Assist with workplace and facilities process improvements, office move coordination, and space planning activities.
- Assist with communications and coordination activities involving building management, landlords, and regulatory stakeholders under the guidance of management.
- Assist the Regional Area Manager with site operations, vendor coordination, reporting, and meeting participation as needed.
- Support Health & Safety initiatives, including workplace risk assessments, air and water quality testing, compliance activities, and related reporting.
- Coordinate workplace amenities, including coffee service, vending, parking, and event-support activities.
- Participate in emergency response procedures and support facility-related incidents as required.
- Align risk and control processes into day-to-day responsibilities to monitor and mitigate risk while escalating concerns appropriately.
Qualifications:
- Minimum of 2 years of related experience
- Bachelor's degree preferred or equivalent experience
Talents Needed for Success:
- Exposure to architectural and engineering drawings preferred; ability to learn and interpret facility and building plans.
- Excellent communication, written, organizational, and customer service skills.
- Strong Microsoft Office skills, particularly Excel, Outlook, Word, and PowerPoint.
- Experience with a work order management system preferred. Nuvolo experience is a plus but can be learned on the job.
- Strong vendor relationship management and coordination skills.
- Ability to manage multiple priorities, follow through on requests, and provide excellent customer service in a fast-paced office environment.
- Strong attention to detail, ownership mindset, and problem-solving ability.
The salary range is indicative for roles at the same level within DTCC across all US locations.
