The management assistant plays a crucial role in supporting the MT of WUR Library/DMA. You support the management team (5 people) not only in their operational tasks, but also contribute substantively to management information, budget monitoring and the organization of meetings. You work on the basis of general instructions and take a lot of initiative yourself. The atmosphere is open, informal, down‑to‑earth and customer‑focused. You work at the secretariat of WUR Library/DMA in a modern open workspace in the Forum building.

Your Main Tasks And Responsibilities Are

  • You manage complex calendars and schedule, prepare and take minutes of MT meetings. You collect and organize data and process it into management information.
  • You prepare (parts of) draft reports for the MT, e.g. progress, orders, costs.
  • Together with the staff departments, you manage the financial administration of WUR Library/DMA: you handle invoicing and orders in ProQme, monitor budgets and contribute to the budget planning and departmental reports.
  • You make written proposals to improve administrative processes and systems and translate new regulations into internal working methods.
  • You contribute to the preparation and organization of non‑regular, cross‑departmental meetings e.g. MT days, meetings with DIAS, education or research. You support the program and monitor the progress of action points.
  • You articulate substantive topics, facts and conclusions in memos, reports and announcements for the MT and employees.

Your team

You work together with your fellow management assistant within WUR Library/DMA. In addition, you work closely with the management assistants within Digitalisation, Information & Archiving Services (DIAS), the organisational unit of which WUR Library/DMA is part. Your qualities
