The RoleWe are seeking a detail-oriented Attestation Clerk / Document Attestation Assistant to support document verification, attestation coordination, application tracking, and administrative recordkeeping. The successful candidate will help ensure that documents are complete, correctly organized, and processed according to the applicable requirements of relevant authorities and service providers.
Key Responsibilities- Assist with receiving, reviewing, organizing, and processing documents submitted for attestation or authentication.
- Check document completeness, signatures, stamps, identification details, and supporting materials against established checklists.
- Coordinate document submissions, appointments, collections, and follow-ups with authorized service providers and relevant authorities.
- Maintain accurate records of applications, submission dates, reference numbers, fees, deadlines, and processing status.
- Communicate with clients and internal teams to request missing information or clarify documentation requirements.
- Track pending applications and provide timely updates on progress, outstanding requirements, and expected completion.
- Prepare application forms, document checklists, cover sheets, receipts, and other administrative paperwork.
- Verify document details for consistency and escalate discrepancies or unusual cases to the appropriate personnel.
- Maintain organized digital files, correspondence, scanned copies, and transaction records.
- Support document delivery, collection arrangements, and secure handling of sensitive paperwork.
- Assist with preparing routine reports on application volumes, processing times, pending cases, and completed requests.
- Follow confidentiality, data protection, record-retention, and internal document-handling procedures.
- Coordinate with administrative, legal, HR, education, or business teams where document attestation is required.
- Identify opportunities to improve tracking systems, filing procedures, and document-processing workflows.
- 3+ years of professional experience in document processing, administrative support, records management, attestation services, or a related field.
- Bachelor’s degree or equivalent qualification in Business Administration, Office Management, or a related discipline is preferred.
- Understanding of document verification, application processing, recordkeeping, and administrative procedures.
- Familiarity with document attestation or authentication processes is an advantage.
- Strong attention to detail when checking names, dates, signatures, stamps, and supporting documentation.
- Proficiency in email, spreadsheets, digital filing systems, and standard office applications.
- Strong organizational, communication, follow-up, and problem-solving skills.
- Ability to handle confidential documents responsibly and manage multiple deadlines.
- Ability to coordinate submissions and physical document handling through authorized on-site service providers when working remotely.
- Professional certifications are not required unless specifically requested.
- Strong English communication skills; additional languages are an advantage.
