Role Overview
Position: Dental Patient Coordinator & Insurance Specialist
(5 days in office for the first month, transitioning to a hybrid schedule based on performance) (9:00 AM to 6:00 PM Eastern / 6:00 PM to 3:00 AM Pakistan Time)
Our client is an established, U.S.-based dental practice serving a diverse patient population in a major metropolitan area. The practice handles a high volume of patient calls and treats a broad range of general and complex dental cases, working with PPO insurance plans and Medicare. They take pride in a modern, well-kept facility and a close-knit team of under ten people focused on patient care.
This is a blended front office and insurance role, not a call handling position. The person in this seat will manage patient scheduling and phone communication while also owning insurance verification, pre-qualifications, and billing questions, working closely with the practice's lead dentist and clinical team to keep both the schedule and the insurance side of the practice running smoothly.
Key Responsibilities
Patient Scheduling & Front Desk
- Answer and manage a high volume of inbound patient calls throughout the day
- Schedule, confirm, and reschedule patient appointments across providers
- Check patients in and out using the practice's management software
- Maintain accurate, up to date patient records in the practice management system
- Route calls and messages appropriately when a matter needs the dentist's or clinical team's input
Insurance & Billing
- Verify PPO and Medicare insurance coverage and eligibility ahead of patient appointments
- Handle pre-qualifications and pre-authorizations for treatment plans
- Answer patient questions about insurance coverage, co-pays, and out of pocket costs
- Process and submit dental insurance claims and follow up on outstanding or denied claims
- Coordinate directly with insurance providers to resolve billing discrepancies
Patient & Treatment Coordination
- Act as the patient's main point of contact for scheduling and insurance related questions
- Communicate treatment plans and associated costs clearly before procedures
- Support coordination on more complex treatment cases alongside the clinical team
- Flag and escalate complex insurance or billing issues to the appropriate person on the client side
Qualifications
- Background in dental front office work, patient coordination, or dental insurance billing
- Working knowledge of dental insurance processes, including PPO and Medicare plans
- Strong verbal and written English communication skills, comfortable speaking directly with patients
- Experience with dental practice management software (Patterson Eagle Soft or similar systems such as Dentrix) preferred
- Comfortable managing a high volume of calls in a fast paced office environment
- Highly organized with strong attention to detail
- Analytical mindset, able to move between patient facing and administrative/insurance tasks
- Self-starter, able to work independently while collaborating with a remote team
