The U.S. Consumer Services Team is responsible for our suite of consumer products, services, and experiences in the U.S., including our premium, cobrand, cash back, and lending portfolios, Membership Rewards, Global Travel & Lifestyle Services, the Centurion Lounge network, our Global Dining and Resy businesses, and best-in-class marketing programs across customer, prospect, and partner channels. American Express entered the travel agency business in 1915 and today is one of the world’s largest luxury travel and lifestyle service networks. The Travel & Lifestyle Services (TLS) business provides exclusive access, differentiated value, extraordinary service, and unrivaled expertise to premium Card Members seeking leisure or business travel, as well as a variety of lifestyle services. The TLS COE (Center of Excellence) is tasked with uniting the travel and lifestyle benefits and strategic travel partner relationships globally to create structured and focused plans towards advanced Card Member engagement with Amex travel benefits.
This position is responsible for providing high-level administrative support to two Vice Presidents within the Amex Travel Global Partnership and Marketing team. It is a dynamic, fast-paced environment, and the day-to-day responsibilities require seamless collaboration across a wide range of business partners. The ideal candidate will be seasoned and experienced in handling a broad range of administrative responsibilities and able to work independently and confidently under pressure.
Beyond managing day-to-day administrative needs, the successful candidate will be a proactive and trusted partner to the leaders they support—anticipating needs, identifying opportunities to make their day-to-day work more efficient and effective, and taking initiative to solve problems before they arise. This individual will continuously look for ways to simplify processes, remove friction, and help leaders stay focused on their highest priorities. Building strong relationships, being resourceful, exercising sound judgment, and knowing how to navigate a large organization fluidly will be critical to success in this position.
Day-to-day responsibilities include, but are not limited to:
- Proactively supporting leaders by anticipating needs, identifying opportunities to simplify their day-to-day work, and taking initiative to make their time and interactions more effective
- Serving as a trusted partner to the VPs, using sound judgment to prioritize competing demands, resolve issues, and help ensure leaders are focused on their highest-value priorities
- Organizing and maintaining complex calendars with a high level of tact, influence, and integrity, including scheduling across multiple time zones
- Managing calendars and coordinating meetings with colleagues and partners internally and externally
- Coordinating meeting logistics, including conference rooms, materials, and technology support as required
- Preparing, reviewing, and processing expense reports and managing expense approvals in line with company T&E policy and budget
- Assisting with timekeeping and payroll responsibilities
- Providing coverage for other team-based Executive/Administrative Assistants during vacation or leave
- Managing organization charts and team rosters
- Booking and coordinating travel arrangements, including air and hotel accommodations
- Supporting the scheduling and coordination of events, including room bookings, catering, and other logistics
- Supporting team administration, including job postings, onboarding new hires, updating distribution lists, coordinating group-wide team meetings, and team real estate needs
- Processing requisitions and invoices, ordering supplies, and managing ticket requests
- Proactive, solutions-oriented mindset with a demonstrated ability to anticipate needs and take initiative
- Strong judgment and an instinct for identifying ways to make leaders and teams more effective
- Positive attitude, collaborative demeanor, and high degree of reliability
- Exceptional organizational, administrative, and interpersonal skills
- Keen attention to detail and a strong sense of urgency in execution and follow-up

- Strong written and verbal communication skills
- Proficiency in Microsoft Outlook and Office, including Word, PowerPoint, and Excel
- Minimum of 3–5 years of experience supporting executives with complex calendars and travel
