About Aspirock
Aspirock provides Employer of Record and contractor payroll services across 70+ countries, with deep specialism in the GCC. We run six offices across Ireland, the United States, the UAE, Saudi Arabia, Turkey and Australia, built on our founder’s 22+ years of EOR experience. Every client works with a named account team and real operators in the markets they need.
The role
This is a new dedicated finance seat that centralises the group’s invoicing and payment operations. You will own them end to end and run the day-to-day books that feed the monthly group close. You become the standing payment operator on the group’s banking rails.
The business is remote-first: six entities, six transacting currencies and a growing contractor book across the Gulf, Europe and the United States, with the GCC at the centre of the book. Local statutory accounting stays with in-country firms. This role owns the group finance layer that sits between our operating systems and those firms, working from the monthly pay and billing schedule prepared by our operations team. It is expected to run on documented processes from day one.
One point to understand upfront: the role stages payments for separate approval and holds no payment release or approval authority on any banking rail, by design. This is a deliberate segregation-of-duties structure, not a reflection of trust or seniority.
What you will do
Invoicing (your first priority on arrival)
- Produce and issue all client invoices across the group, including per-contractor invoices where the client contract requires them.
- Generate invoices from the contracted fee book in our operating system, never freehand, with statutory charge lines itemised separately.
- Run the monthly invoice tie-out (contractor count multiplied by contracted fee equals invoiced revenue) and investigate every variance.
- Issue remittance advice with each payment run.
Payments
- Stage all payment runs on the group’s multi-currency banking platform and local bank rails: contractor payouts, partner payments and statutory payments.
- Prepare batch payment files, submit them for approval and reconcile every run against bank statements in the same cycle.
- Work from the monthly schedule prepared by the operations team. Query anything that does not tie back to a signed contract or statement of work.
- Maintain the payment calendar around client receipt timing; workers are paid promptly on receipt of client funds.
Bookkeeping and reconciliation
- Day-to-day bookkeeping for designated group entities in QuickBooks; keep supplier and customer records complete.
- Bank reconciliation across all group accounts to zero unexplained differences, with no suspense item older than 30 days.
- Maintain the intercompany record: flag every cross-entity transfer as it happens, with supporting documentation.
Receivables
- Own the AR ledger and aged listing; chase overdue invoices to an agreed escalation path; track client deposits and prefunding balances.
Month-end inputs
- Deliver the monthly close inputs to the close calendar: reconciled banks, AR and AP ageing, revenue by client, intercompany schedule and flagged items.
- Surface and log every unexplained or one-off payment for classification; nothing is absorbed silently into expense lines.
Process and documentation
- Maintain runbooks for every recurring process (invoicing cycle, payment run, reconciliation, close inputs), current enough that a competent stand-in could run a cycle from them.
What this role is not
- Not a payment approver or releaser; approval sits separately on every rail.
- Not the statutory accountant; in-country firms file accounts and taxes in each jurisdiction.
- Not a pricing or commercial role; fees come from the contracted fee book.
What we are looking for
Essential
- Part-qualified ACCA, CIMA or CPA (or equivalent), actively progressing or finalist.
- 3 to 5 years in accounts roles, including invoicing and AR/AP at volume.
- Multi-currency bank reconciliation experience, with demonstrated accuracy under monthly deadlines.
- Strong Excel; comfortable learning new systems quickly.
- Fluent written and spoken English; able to draft client-facing invoice and remittance correspondence unaided.
- Working hours overlapping UAE and Saudi business hours, with occasional Sunday cover understood.
Desirable
- UAE, Saudi or wider GCC employer experience. This is the strongest single filter and is heavily weighted.
- Staffing, recruitment, EOR or umbrella-company industry background.
- QuickBooks or a similar cloud accounting system; a multi-currency banking platform; batch payment files; working in a structured operations database.
- Experience working with external accountants across multiple jurisdictions.
How we will measure the first year
- Invoicing: every invoice issued within the cycle window; error rate below 1% by value; monthly tie-out completed with all variances explained.
- Payments: every run staged to calendar and reconciled in the same cycle; zero out-of-process payments.
- Books: zero unexplained bank differences at month end; no suspense items over 30 days.
- Receivables: aged listing produced monthly; DSO trend reported and improving.
- Close: inputs delivered on the close calendar every month.
- Documentation: every recurring process runbooked within 90 days of owning it.
Working arrangement
Full time and dedicated. Fully remote, or based in the UAE. Working hours anchored to UAE and Saudi Arabia business hours, with occasional Sunday cover for Saudi payroll cycles. Salary paid in USD or AED regardless of location. Reports to the company directors. As an EOR provider, Aspirock engages compliantly in every market we hire from, on our own paper.
