Job Description:

Our client is building a modern utility bill management platform and managed service. They are hiring their first dedicated operations team member. This role supports the day-to-day processing and monitoring of customer utility accounts. You will join early and learn the business from the ground up. You can take on more responsibility as the company grows.

You will be responsible for making sure utility bills are received, retrieved, processed, and accurately reflected in the platform. The processes are clearly documented. You will follow established procedures, recognize exceptions, document what happened, and escalate quickly when something falls outside the normal process. Reliability and attention to detail are very important.

Responsibilities of the role:

• Monitor customer utility accounts to identify expected, missing, and overdue bills.

• Confirm bills are processed within established timelines.

• Retrieve utility invoices by logging into provider portals and monitoring email inboxes.

• Follow documented account-level instructions.

• Upload and correctly associate bills with the appropriate customer, location, and account in the platform.

• Perform basic data validation on account numbers, billing periods, invoice dates, due dates, and amounts.

• Identify discrepancies, unusual situations, login failures, portal outages, or missing credentials.

• Document issues clearly and escalate for review.

• Keep account statuses, operational notes, and documentation accurate and current.

• Help improve operating procedures as you become familiar with customers, the platform, and workflows.

Required Experience and Qualifications:

• Excellent attention to detail and organizational skills.

• Strong written and spoken English.

• Comfortable working with web-based software, spreadsheets, email, and online account portals.

• Ability to follow documented procedures consistently and manage repetitive operational work without losing accuracy.

• Strong judgment about when to stop and escalate rather than make assumptions.

• Clear written communication and documentation skills.

• Dependable and comfortable working with sensitive customer and financial information.

Preferred Skills:

• Previous experience in utilities, energy, accounting, finance, banking, accounts payable, billing, or another transaction-heavy operational environment.

• Experience reviewing invoices or financial documents, or working with utility bills or utility provider websites.

• Experience with reconciliation, billing operations, accounts payable, or similar back-office processes.

• Experience supporting U.S.-based businesses or customers.

• Bachelor's degree in finance, accounting, economics, energy, business, or a related field.

Personality:

• Likes documenting what they learn.

• Willing to take increasing ownership as trust develops.

• Prefers asking for guidance over guessing when unsure.
