The Permit Technician I contributes to accurate, agency-ready submittals by following established checklists, templates, and documented processes and by proactively coordinating missing inputs with guidance as needed.

The Permit Technician I coordinates with internal teams (Project Management, Survey, Engineering, GIS) to obtain required information and support timely submissions. Typical scopes include county and municipal permits, state oil and gas commission filings (e.g., ECMC, TX RRC, WOGCC, NMOCD), and federal permitting support (e.g., BLM ROW/APD), along with permit status tracking and support for assigned post-approval documentation and closeout activities as directed.

Expected Results in the Role:

  • Maintain organized project documentation and file structure to support consistent submittals and efficient retrieval.
  • Track permit status, approvals, and key dates in department systems and maintain accurate documentation of communications and next steps.

Internal Coordination and Input Collection

  • Coordinate with internal teams (Project Management, Survey, Engineering, GIS) to obtain required inputs (plans, exhibits, signatures, site information, land/ownership details, etc.).
  • Identify missing or unclear inputs early, communicate needs clearly, and follow up to keep permitting timelines on track.
  • Maintain organized communication records that support clear handoffs and reduce rework.

Agency and Stakeholder Support

  • Support routine agency coordination by confirming submission requirements, timelines, portal steps, and documentation needs, and documenting outcomes as directed.
  • Route agency questions and deficiency notices to the assigned Permitting Analyst; assist with compiling responses and resubmittal materials as directed.
  • Maintain professional communication with internal and external stakeholders consistent with company standards.

Quality, Documentation, and Process Discipline

  • Apply QA/QC checks prior to submission to confirm completeness, correct forms, correct attachments, consistent naming, and required signatures.
  • Use established templates and checklists consistently and request clarification when requirements are unclear.
  • Identify recurring issues or missing information and elevate them to the assigned Permitting Analyst or the Permitting Manager.

Reporting and Visibility

  • Maintain accurate task lists, due dates, and permit status tracking in department systems; keep timelines current and visible.
